Know When Customers Open Your Emails Without Inflating the Numbers

An email open helps sales understand whether a message reached someone's attention — but not every technical open means a person actually read it. KudosCRM records the useful open information while separating the signals that should not be treated as human engagement.

Tracked messages record first open time, last open time, and open count. A sent email can show an “Opened 3×” indicator with the most recent open time, on the inbox and on the related Contact or Deal timeline.

Track Opens Across Connected Mailboxes

Open tracking is available across Gmail, Outlook, IMAP/SMTP, and KudosCRM platform sends, giving teams a consistent open signal across every supported sending path.

Separate Apple Mail Privacy Opens

Apple Mail Privacy Protection fetches tracking pixels before the recipient actually reads the message. KudosCRM identifies these proxy opens and excludes them from reported open rates, open-triggered workflows, and open notifications. They stay visible separately as MPP activity rather than being silently mixed into human engagement. For resend-to-non-opener workflows KudosCRM takes the safer path and treats MPP activity as an open, so somebody who may already have read the message is not mailed again.

Track Clicks and Replies Where They Show Stronger Intent

Opens provide one engagement signal. Clicks and replies show that the recipient took a more deliberate action. KudosCRM tracks these events on the sending paths that currently support them, and keeps that scope explicit.

Track Clicks Through Protected Links

Click tracking rewrites supported links through a signed redirect, and the signature is checked before redirecting so an altered tracking URL cannot be used as an open redirect. Click tracking currently applies to IMAP/SMTP sends and KudosCRM platform sends — Gmail and Outlook connected sends provide open tracking only.

Email Campaign reporting shows link-level click performance and recipient engagement. That is where per-link click analysis lives today; individual one-to-one emails do not currently expose per-link click counts in the UI.

Detect Replies From Supported Mailboxes

Reply detection currently works with Gmail and IMAP/SMTP. When a reply is detected, KudosCRM can stamp the reply time, notify the rep, fire the email.replied workflow trigger, and remove the Contact from an active Sequence. Outlook reply detection is not available today.

Keep Email Tracking Privacy-Aware and Under Your Control

Email tracking should help your team without making every message track by default, and without hiding what the system can and cannot measure. KudosCRM provides controls at several levels and keeps compliance-sensitive links outside the tracking redirect.

Choose When Tracking Is Used

Tracking is controlled through mailbox defaults, individual-message overrides, automation-send settings, and campaign-level settings. When tracking is disabled, reports say tracking is off instead of showing a misleading zero-engagement result.

Never Track Inbound Email

KudosCRM tracks the emails your team sends. Incoming synced messages are stored without tracking, so inbox synchronisation never turns received mail into a tracking event.

Keep Unsubscribe Links Outside Click Tracking

Unsubscribe links are deliberately excluded from tracking-link rewriting. KudosCRM supports RFC 8058 one-click unsubscribe and keeps suppression handling separate from ordinary engagement tracking.

Prevent One Recipient From Suppressing Everyone

For multi-recipient messages, KudosCRM avoids creating an unsubscribe action that could accidentally suppress several people because one person opted out. Suppression reasons include Unsubscribed, Bounced, Complained, and Manual, and those states feed send-time filtering and Contact-level warnings.

Turn Email Engagement Into CRM Actions

Email tracking becomes more useful when engagement can move the sales process forward. KudosCRM connects supported email events with Workflows, Audiences, Sequences, and Contact engagement data.

Trigger Workflows After a Real Open

The live email.opened trigger fires on the first human open. It does not fire for MPP proxy opens or for repeated opens, so a follow-up task created from it reflects a person rather than a pixel prefetch.

Trigger Workflows After Replies

The email.replied trigger runs when a reply is detected on a supported mailbox. Slack is not a direct notification channel for Email Tracking, but a Workflow can use a Slack action when its conditions are met.

Build Audiences From Engagement

Audiences can use email engagement conditions such as opened a specific campaign, clicked a specific campaign, bounced, unsubscribed, last opened within a period, last clicked within a period, and received but did not open. KudosCRM explains the semantics of these filters in-product where privacy behaviour changes their meaning.

Feed Opens Into Contact Engagement

Recent email opens contribute to the Contact engagement score. Clicks and replies do not currently contribute to it — so if you are reading an engagement score, you are reading opens.

Email metrics are useful only when teams understand what is being measured. KudosCRM separates MPP activity, uses explicit denominators, and keeps durable headline counters even after detailed events age out.

Review Email Engagement

The Email Insights dashboard shows sent, delivered, unique opens, clicks, replies, the open, click and reply rates, daily trends, and rep-level performance. Unique opens exclude MPP activity.

Compare Template Performance

Templates can be compared by sent volume, open rate, click rate, and reply rate, and sorted so teams can see which templates perform better without ignoring sample size.

Follow the Campaign Funnel

Campaign reporting shows Sent, Delivered, Opened, and Clicked. If a delivery signal cannot be measured, KudosCRM reports it as not reported rather than drawing a false zero.

Keep Rate Calculations Clear

Rates state what their denominator is based on, such as delivered or sent. Daily reporting uses the workspace timezone and unique recipients, so repeated fetching by one recipient cannot dominate a day's activity.

Keep Headline Metrics Beyond Event Retention

Detailed open and click events are retained for 90 days. Headline counters remain available after that event-level window, and recency-based segmentation explains the applicable retention horizon.
