The Short Version
What Is Sales Activity Tracking?
Sales activity tracking is the process of recording and reviewing customer-related actions such as calls, emails, meetings, notes, tasks, and CRM changes. KudosCRM keeps these activities on one shared model. They appear on the relevant customer records, while the Activities workspace gives teams a broader view across the CRM.
Capture Activity
Sync supported emails and meetings, or quickly log calls, notes, and tasks.
Keep It Connected
Attach activity to the relevant Contact, Company, Lead, Deal, or Project.
Follow Up
Assign work, set reminders, complete activities, and return to the related record.
Review Performance
Measure team activity, calls, response times, and opportunities going quiet.
One activity model, three kinds of history. Automatically captured communication, manually logged activity, and machine-written CRM events stay separate — so you always know where a record came from.
Capture
Capture Activity and Keep It Connected to the Right Records
Different interactions enter the CRM in different ways. KudosCRM separates automatically captured communication, manually logged activity, and machine-written CRM events so the history stays clear about what happened and who recorded it.
Track Six Activity Types
KudosCRM supports Calls, Emails, Meetings, Notes, Tasks, and System Events. The same activity model supports CRM timelines, reporting, API access, and activity management, so a call counted in a report is the same record a rep opened on the timeline.
Connect Activity Across Customer Records
One activity can link to a Contact, Company, Deal, Lead, or Project. For example, a call logged from a Deal can also remain connected to the related Contact and Company without creating separate copies of the same interaction.
Let Emails and Meetings Log Automatically
Supported emails create Activity records when they are sent or synced through Gmail, Outlook, IMAP, SMTP, or SendGrid. Scheduling or booking a meeting also creates the related Activity automatically.
Log Calls in One Quick Form
Calls are logged manually rather than captured automatically — KudosCRM has no native dialer today. The quick form records direction, duration, time of call, number dialed, outcome, and summary. Calls can also be backdated so reports use when the call actually happened, not when someone got around to writing it down.
Record CRM Changes Automatically
KudosCRM writes more than 50 machine-written system events, including stage moves, Won and Lost changes, owner changes, value changes, Quote activity, Form submissions, merges, archives, and task changes. System events cannot be edited or deleted.
Six activity types, one model
Calls are logged manually today — there is no native dialer, and we would rather say so.
What the workspace shows
Upcoming, first
Scheduled work sits above the history, overdue items at the top
Live updates
A teammate's note appears without a refresh — inside their visibility
Last activity date
Kept current on Contacts and Companies, and drives no-activity filters
Relevant Contact activity can surface on an open Deal — scoped so another Deal's activity cannot leak in.
Review
Review and Work With Activity From One CRM Workspace
Record timelines give context around one customer. The Activities workspace gives teams a broader view of what is happening across the CRM without opening every record to find it.
See Activity Across the CRM
Use the Activities page to review customer and sales activity without opening each Contact, Company, Lead, or Deal separately. The dashboard can also show the newest Activities the viewer is allowed to see.
Filter Record Timelines by Activity Type
Individual timelines support All, Calls, Emails, Meetings, Notes, Tasks, and System. Each type shows a live count, so an empty filter is obvious before you click it.
Keep Upcoming Work Visible
Outstanding scheduled work can appear above the record timeline, with overdue items shown first, so the next action is not buried under the history.
Update Activity in Real Time
Creates, edits, deletes, and comments appear live for users viewing the same accessible record. Realtime subscriptions still follow workspace and record visibility rules — nobody sees an update for a record they could not open.
Keep Last Activity Dates Current
New activity updates the relevant Contact and Company last-activity dates. These dates support no-activity filters, stale indicators, and quiet-customer reporting.
Keep Deal Rollups Scoped
Relevant Contact activity can appear on an open Deal. KudosCRM uses safeguards so activity belonging to another Deal with the same Contact does not leak into the wrong opportunity.
Follow Up
Manage Calls, Notes, Assignments, and Reminders From the Activity Layer
Activities can carry follow-up, ownership, discussion, and completion state instead of acting only as passive history.
Configure Call Outcomes
Admins can create, rename, reorder, and archive call outcomes. Each outcome also carries whether the call counts as connected, which keeps Connect Rate reporting accurate even when labels change later. Selected outcomes can require a summary before the call is saved.
Turn Notes Into Team Context
Notes support pinning, colour coding, comments, replies, reactions, @mentions, attachments up to 25 MB, and reminders. Users can search notes and filter by Pinned, Reminders, Threads, or Mine.
Summarize Recent Notes With AI
AI note summaries turn recent notes into a short bulleted recap. This is live today, not a roadmap item — and when the AI path cannot run, a clearly labelled pattern-based fallback takes over rather than failing silently.
Assign Activity
Calls and tasks can be assigned to another teammate. Reassignments and reschedules create readable history entries instead of quietly changing the record.
Set Reminders
Add reminders to notes and supported Activities. Notifications link users directly to the related Activity.
Complete or Reopen Work
Activities can be completed and reopened. The Activities workspace also supports bulk complete, bulk reopen, bulk edit, and bulk delete.
Measure Team Activity, Calls, and Follow-Up Gaps
KudosCRM Activity reporting focuses on useful sales behaviour rather than one large activity count. Calls, emails, and meetings stay separate from notes, while managers can review response times and opportunities with little recent activity.
Review Activity by Rep
See activity by rep, activity type, day, and week. Reporting also includes a day-by-hour heatmap based on the workspace timezone.
Measure Speed to Lead
Track the time between Lead arrival and first Activity. Response times are grouped into under 5 minutes, under 1 hour, under 24 hours, over 24 hours, and never contacted. Median response time is shown alongside the distribution.
Find Opportunities Going Quiet
The going-cold view surfaces Deals quiet for 14 days, Deals quiet for 30 days, value at risk, the largest quiet Deals, never-touched Leads, and Contacts silent for 90+ days.
Review Call Performance
The Call Report includes Calls, Connected Calls, Connect Rate, Coverage, Talk Time, Average Call Duration, Logged-Late Rate, and Outcome Distribution. Managers can open the individual calls behind report totals.
See the Quality of Call Data
Because calls are manually logged today, the report shows how much call data is self-reported and how often calls were logged late. Rates based on fewer than 10 calls show a dash rather than an unreliable percentage. The limitation stays visible instead of hiding behind the numbers.
How It Works
How Does Activity Tracking Work in KudosCRM?
Activity Happens
An email arrives, a meeting is booked, a rep logs a call, or a CRM event occurs.
KudosCRM Records and Links It
The activity connects to the relevant Contact, Company, Lead, Deal, or Project.
Your Team Reviews and Acts
Assign work, set reminders, comment, complete, reopen, or return to the related record.
Managers Review the Patterns
Use Activity and Call reports to see volume, response time, call outcomes, and quiet opportunities.
