A CRM Contact is a record for a person, while a Company is the organization record connected to the people and business activity around that account. Store More Than One Email and Phone Number
Contacts can hold multiple labelled email addresses and phone numbers — work email, personal email, mobile, and other numbers. One email and one phone number can be marked as primary. Phone validation applies country-aware rules instead of treating every format the same way.
Keep Profile Information Together
Contact profile fields include name, job title, country, city, LinkedIn, website, Contact type, and Lead source. Lead source can carry through from the original capture flow, so attribution survives the handoff into the CRM.
Add Custom CRM Fields
Admins can create typed Contact fields through Studio, supporting text, number, date, select, boolean, and URL types. Custom fields follow a draft-to-publish process and can be reused across supported CRM entities.
Track the Customer Lifecycle
KudosCRM uses a defined lifecycle — Lead, MQL, SQL, Opportunity, Customer, Churned. Lifecycle changes follow server-enforced transition rules, so a record cannot accidentally move backwards into an invalid stage.
Track Marketing Consent
Each Contact carries Subscribed, Unsubscribed, or Unknown consent. Consent also stores the source and timestamp behind the decision, and marketing sends respect the Contact's current status.

Connect Contacts to the Companies Behind Them
People often belong to a wider account relationship. KudosCRM Company records keep the organization, the people linked to it, its sales activity, and its account structure connected — without forcing everything onto individual Contact records.
Keep Company Information on Its Own Record
A Company can store industry, company size, revenue, timezone, LinkedIn, billing address, shipping address, and custom fields. Companies also have their own Timeline, Deals, and Contact roster.
Link Multiple Contacts to the Same Company
A Company can have many linked Contacts, and users can move directly between the Company and the people connected to it. During supported capture flows, KudosCRM can also find or create the Company from the company name or the email domain.
Mark the Main Person on an Account
A Company can have a Primary Contact. KudosCRM checks that the selected person actually belongs to that Company before saving the relationship, so the pin cannot point at someone from another account.
Represent Parent and Child Companies
Company hierarchy supports parent and child relationships, so a Holding Company with Subsidiary A and Subsidiary B can be represented properly. Cycle protection stops a Company from becoming its own ancestor.
Keep Company Data Clean
Companies have their own duplicate checking and merge process, so account-level duplicates are handled separately from duplicate Contact records.
Get an Account Brief When Needed
KudosCRM can generate an AI account brief on the Company record from the recent activity around that account. This is a genuine AI function — and when the AI path cannot run, a clearly labelled pattern-based digest takes over instead of failing silently.

Keep Customer Data Clean From Capture Through Import
Duplicate or inconsistent customer data creates problems long after the record first enters the CRM. KudosCRM checks customer information during creation and capture, provides real merge tools, validates important fields, and protects curated data during imports and concurrent edits.
Catch Duplicate Contacts Before Creation
As a user types an email address while creating a Contact, KudosCRM checks for existing matches — stopping the duplicate before it is saved rather than finding it in a cleanup pass months later.
Merge Duplicate Contacts Properly
When two Contacts represent the same person, they can be merged with field-by-field choices. Related Deals, activities, tasks, emails, phone numbers, and tags move to the surviving Contact, and the duplicate is soft-deleted rather than destroyed.
Deduplicate Across Capture Channels
Supported capture flows check existing Contacts by any known email address, including secondary emails, across Forms, bookings, chat, and imports. Where appropriate, capture fills blank information instead of overwriting curated values already on the Contact.
Import Contacts and Companies Safely
The shared import framework supports CSV, XLSX, column mapping, preview, dedupe strategy (Skip, Update, Create New), skipped-row files, and import revert. The same system covers Contacts, Companies, Deals, and Leads, with a migration path for Pipedrive data.
Validate Emails and Phone Numbers
KudosCRM checks email formatting for common errors and applies country-aware phone-number validation. Workspace policies can also control requirements such as country or title-case formatting.
Protect Against Conflicting Edits
When two users update the same record at the same time, KudosCRM returns a clear conflict instead of silently overwriting one person's changes.
Archive and Restore Contacts
Contacts can be archived, unarchived, duplicated, and restored after deletion. A deleted Contact stays recoverable for 30 days before it is gone for good.

Filters include lifecycle stage, owner, source, Company, tags, created date, last activity date, no activity, exact phone, and archived status. Phone matching allows for formatting differences by comparing the final digits.
Sort Across the Full Record Set
Sorting runs server-side rather than only reordering the Contacts already loaded in the browser — across name, created date, updated date, last activity, and engagement.
Save Working Views
Save combinations of filters and columns as reusable views. Views can be private, shared with the team, favourited, or reordered.
Choose How the Contact List Looks
Users can select the visible columns and choose comfortable or compact row density. A card-based Board view is available as an alternative to the Contact table.
Update Multiple Contacts Together
Bulk actions support changing owner, changing lifecycle stage, adding tags, soft-delete, and converting Contacts to Deals. Bulk actions are permission checked at record level, not just at the button.
Export Filtered Contacts
CSV export follows the filtered Contact list. Exports protect spreadsheet cells against formula injection, and every export action is written to the audit log.
Keep Ownership Separate From Editing
Changing a Contact owner uses its own permission, so a user can have permission to edit Contact information without having permission to reassign the record.
Control Record Visibility and Permissions
Each Contact supports record-level visibility — Inherited, Private, Public — which works alongside team sharing and bulk visibility changes. Separate permissions independently control read, create, update, change owner, delete, share, and export. Changes, deletions, and exports create audit records, and sensitive-record access also writes compliance access logs.
