A deal should show more than its stage. KudosCRM keeps the commercial details behind the opportunity on the deal record so sales teams can see who owns it, what it is worth, when it is expected to close, and the context behind the sale.

Keep Ownership, Value, and Dates Clear

Every deal carries an owner, deal value, currency, and expected close date. When a deal closes, KudosCRM records the actual close date separately from the expected date. If the deal later reopens and closes again, the new closing event is recorded correctly rather than rewriting the earlier sales history.

Add the Commercial Context

A deal can also hold a Hot, Warm, or Cold label, forecast category, individual probability override, source, competitor, description, tags, visibility, and custom fields. Hot, Warm, and Cold are manual labels — they do not represent an automatically calculated deal score.

Use Deal-Specific Forecast Settings

Every deal can use one of four forecast categories — Committed, Likely, Pipeline, or Omitted. A rep may also override the stage probability for an individual deal when that opportunity needs a different forecast assumption.

Add the Fields Your Business Needs

Admins can publish typed custom deal fields for information that does not belong in the standard fields. These fields remain available on the deal record and can also be used in filtering and supported pipeline requirements.

Read the Deal Timeline in Order

The deal Timeline combines relevant information such as notes, tasks, stage changes, and related Contact email activity. KudosCRM keeps this activity scoped to the correct deal — activity from another deal belonging to the same Contact does not get mixed into the record.

Record Important Deal Changes

Material updates also write system events, including changes to deal value, expected close date, label, title, and custom fields. The history therefore shows both conversations and changes made to the sales record.

Every stage move records where the deal moved from, where it moved to, who or what made the change, whether it came from a user, automation, or system action, the workflow name when an automation made the change, and time spent in the previous stage. Historical stage names remain intact even if the stage is renamed later.

Add the Next Action from the Deal

Quick Add supports common sales work such as email, note, call, meeting, task, and file. The deal title, value, and expected close date can also be updated directly from the record header.

Attach contracts, proposals, and other documents to the deal. Files support categories, version history, and reverting to an earlier version. When one document needs to be sent outside the CRM, KudosCRM can create a time-limited public link for that individual file — the entire deal record itself is not publicly shared.

Relevant synced email threads appear on the deal. Scheduled meetings also remain connected to the opportunity, and meetings can be booked from the deal record.

Each deal links to the Contact and Company behind the opportunity. A deal created from a Lead also keeps a From Lead reference so the earlier source, campaign, and engagement context remains easy to reach.

Keep Quotes and Orders Connected

Quotes and Orders can link back to the deal and appear in its Timeline. An accepted quote can also close the deal through the normal closing process.

Move Won Work into Delivery

A Won deal can continue into a Project when the sold work needs to move into delivery. Opening a deal also promotes the linked Contact to the Opportunity lifecycle stage, while winning promotes the Contact to Customer without moving someone backwards in their lifecycle.

Protect Team Edits and Follow What Matters

KudosCRM uses conflict-safe editing — when two teammates try to change the same deal at once, the later edit receives a conflict instead of silently overwriting another person's update. Deal owners automatically follow deals assigned to them, and notifications cover assignment, stage movement, Won, Lost, and meaningful value changes above a 10% threshold.

Keep Duplicate Deals and Large Deal Lists Under Control

Deal records become harder to manage as the sales database grows. KudosCRM checks for possible duplicates before creation and provides merging, filters, saved views, bulk actions, import, and export for managing larger deal sets.

Check for Duplicates Before Creating Another Deal

Before a deal is created, KudosCRM looks for possible matches. A strong match can consider the same pipeline, title, and related party. A shared phone number by itself is not enough to decide that two records belong to the same party.

Merge Duplicate Deals

Related data such as activities, tasks, meetings, files, tags, conversations, and followers can move to the surviving record. Field conflicts are handled individually, and the losing record is soft-deleted with a pointer to the survivor rather than being removed without trace.

Find Deals with More Than 25 Filters

Deal filtering covers value, expected and actual close date, close reason, forecast category, source, competitor, owner, tags, custom fields, and supported fields from the linked Company or Contact.

Save Deal Views for Repeated Work

Saved views live in the CRM rather than only inside one browser. They may be private or team-visible and can be favorited, so a view like “Lost to competitors this quarter” becomes reusable.

Update Multiple Deals Together

Bulk actions support changes to stage, owner, status, label, expected close date, visibility, delete, tags, and close-reason backfill. When part of a bulk operation fails, KudosCRM reports the rows that succeeded and the rows that did not.

Close Deals with Structured Reasons and Keep the History Intact

Marking an opportunity Won or Lost should record more than a final status. KudosCRM gives teams structured closing controls so the reason, final value, and closing history remain useful after the opportunity leaves the active sales process.

Use the Same Close Process from Either Path

Closing from the Won or Lost action and moving the deal into a terminal stage follow the same closing rules. Both paths record the close date and history consistently, and a deal cannot exist as both Won and Lost at the same time.

Keep Separate Won and Lost Reasons

Each pipeline can maintain its own reason lists. Admins control the reasons, their order, whether they remain active, and whether a specific reason needs additional information — for example, Competitor may require a name and Other may require a note.

Choose Whether a Reason Is Required

Close reasons can be required at the pipeline level, optional rather than automatically applied to every pipeline. Teams that want a controlled reason list may enable strict picklist mode and reject unsupported free-text reasons.

Turn Repeated Free Text into Structured Reasons

When free-text reasons are allowed, recurring answers appear in an admin suggestion queue with deal counts and value. Admins may turn the response into a new reason, map it to an existing reason, or dismiss it.

Store the Final Signed Amount

The Won flow can capture the final amount agreed with the customer, so Won revenue can use the signed amount rather than relying only on the earlier expected value.

Correct or Reopen Without Losing History

A missing or incorrect reason can be fixed through a dedicated audited action while the deal stays closed and the original close date is intact. Reopening a closed deal requires explicit intent — KudosCRM restores the last valid open stage, clears the old closing data, and records who reopened the opportunity.
