Quoting & Proposals

Build a quote, send it, get it accepted online

Quoting and proposal software built into the CRM: assemble a quote from your product catalog, apply per-line and order discounts, route big discounts for approval, and send a branded PDF or a link the customer accepts online with an e-signature — which turns straight into an order.

Part of Proposals & Quotingthe quote-to-cash stage that takes a deal from priced quote to signed order on one record.See the full stage

A quote in minutes, not a Word file

Pull products from your catalog or add free-text lines, set discounts and tax, and watch the totals recompute live. One click turns it into a branded PDF with your logo and colors.

Sent, viewed, accepted — all tracked

Email the quote or share a link. KudosCRM stamps when it's viewed, auto-expires it on the date you set, and tells you the moment the customer accepts — no chasing for a status.

Discounts can't slip out the door

When total discount crosses your threshold, the quote holds for a manager's approval. Edit an already-approved quote and the approval re-opens automatically.

How it works

Every part, explained.

1

Start from the deal

Create a quote from a deal, contact, company, or scratch. It gets an auto quote number (QT-YYYY-NNNN) and an expiry date you can change.

2

Add line items

Add products from the catalog or free-text lines, set quantity, per-line discount, and per-line tax, and drag to reorder. Totals — including order-level discount and VAT — update live.

3

Route for approval if needed

If the total discount crosses your threshold, request approval. A manager approves or rejects with a reason; everything is timestamped on the record.

4

Send a branded PDF or link

Generate a PDF with your logo, accent color, and terms, and email it — or share a tokenized link the customer can open with no login.

5

Customer accepts online

The customer reviews the quote and signs with a type-to-sign e-signature, captured with their name, IP, and a timestamp as an audit trail.

6

It becomes an order

Acceptance converts the quote to an order, marks the linked deal won, and hands off to fulfillment, a draft invoice, and a delivery project.

Deep dive

Everything that's in the box.

Line & order-level discounts

Discount a single line or the whole quote, with per-line tax snapshotted from the product. The cached totals math keeps everything in sync.

8-status lifecycle

Draft → sent → viewed → accepted, rejected, or expired. Quotes are editable while open and frozen once they reach a terminal status.

Versioning & revision audit

Every revision of a sent quote is snapshotted — version number, totals, lines, who edited and why — so you can see exactly how the number changed.

Branded PDF & email send

Your logo, accent color, header, line table, totals, notes, and terms — generated as a PDF and sent by email, or downloaded inline.

Online acceptance + e-signature

A no-login public page where the customer accepts with a type-to-sign e-signature, captured with an IP and user-agent audit trail.

Discount approval gate

A configurable threshold (20% by default) that holds over-discounted quotes for a manager's approve/reject — with a full audit and workflow events.

Viewed tracking & auto-expiry

Know when a quote is opened, and let it expire on its own past the date you set, so stale quotes don't linger as live commitments.

List, filter & search

Filter quotes by status, deal, or contact, search across them, and paginate — so the quoting pipeline is as easy to work as the deal pipeline.

KudosCRM vs. the old way

A different league.

KudosCRM
Spreadsheet / legacy CRM
Where the quote lives
On the deal's 360° record, next to every email, call, and file
In a separate quoting tool or a Word doc, disconnected from the CRM
Discount control
Threshold-based approval that holds the quote until a manager signs off
An honour system — reps discount and hope someone notices
Customer acceptance
A no-login link with a type-to-sign e-signature and audit trail
Print, sign, scan, and email back — if it comes back at all
After acceptance
Becomes an order, marks the deal won, raises a draft invoice automatically
Someone re-keys the numbers into an order or invoice by hand
