CRM product catalog and price book software stores what a business sells and the pricing rules used for different selling situations. KudosCRM keeps Product records separate from Price Books. Products hold the core SKU, list price, tax, selling cadence, and other product data. Price Books add contextual prices for partners, territories, customer tiers, effective periods, and order quantities.

Catalog

Keep a Structured Catalog of What You Sell

A useful Product catalog needs more than a product name and a price. KudosCRM keeps the information needed to identify, find, quote, retire, and report on each SKU in one Product record.

Product Records

Each Product can store a workspace-unique SKU, name, category, description, list price, ISO currency, billing cadence, unit of measure, tax rate, expected margin percentage, and tags. SKU matching is case-insensitive, so a duplicate identifier cannot slip through using different capitalisation.

Product Status

Products move through Draft, Active, and Archived, and those states have real effects. Draft Products do not appear in the Quote Builder. Archived Products stop being available for new selling activity, while historical Quote, Order, and Invoice lines keep the information already captured.

Catalog Search and Shared Tags

Search Products by name, SKU, description, or tags, with category and tag filters to narrow the catalog further. Product tags use the same workspace tag library as Contacts, Companies, and Deals, so the team does not need a separate tagging vocabulary just for the catalog.

Product Tax, Selling Cadence, and Performance

Each Product can carry its own tax rate, which snapshots onto the Quote line so one Quote can contain Products with different VAT rates. Products can also be labelled One-Time, Monthly, Yearly, or Usage to record how they are sold, and the catalog shows units sold, distinct Orders, and booked revenue from live, non-cancelled Order data. AI-created Products always save as Draft, so a human has to make them sellable.

Price Books

Manage Different Selling Prices Without Duplicating Products

The same Product may need different prices for different customers or sales situations. KudosCRM Price Books keep those prices separate from the core Product record.

Multiple Price Books

Create multiple named Price Books, scoped to partner, territory, customer tier, or a combination of those contexts. A book without a specific scope can act as a general list book. Only Active Price Books participate in price resolution, which lets admins prepare a book before making it available.

Effective Pricing Windows

Price Books can use start and end dates, supporting promotional periods, annual price changes, temporary partner pricing, and scheduled updates. The date window determines when a Price Book can participate in resolution.

Quantity-Based Pricing

A Price Book entry combines Product, minimum quantity, and price. The same Product can carry several quantity tiers inside one book — for example 1+ units at $100, 10+ at $90, and 50+ at $80 — and the engine uses the highest tier the requested quantity qualifies for.

Management and Safe Deletion

The Price Book workspace shows scope, entry count, priority, and effective dates. Deleting a Price Book is a soft delete, so records already carrying saved prices keep those values. AI-created Price Books always start Inactive, so they cannot silently become the active pricing source.

Pricing Engine

Resolve Contextual Prices With Clear Pricing Rules

KudosCRM includes a deterministic pricing engine for resolving the effective Product price from the available Price Books. The engine follows defined rules rather than guessing which price should apply.

Find the Most Specific Price Book

The pricing engine first looks for an active, in-window Price Book matching the sales context. Specificity runs Partner, then Territory, then Customer Tier. If more than one matching book remains, the engine uses priority, then recency.

Apply the Best Quantity Tier

After selecting the Price Book, KudosCRM finds the highest minimum quantity the requested quantity qualifies for.

Fall Back to List Price

If no Price Book applies, the Product's list price remains the fallback.

The pricing API reports which Price Book produced the resolved result, which keeps contextual pricing explainable instead of hiding the source behind an unexplained number.

Current Quote Builder behaviour

The contextual pricing engine is available today through the pricing API. The Quote Builder still adds catalog Products at list price and does not yet call the Price Book resolution engine automatically.

We would rather write that down than let you find it mid-rollout.

Control Discounts Without Inventing Product Costs

Pricing control should use the data KudosCRM actually stores. KudosCRM does not store a Product cost or calculate margin from cost. Instead, each Product can store an expected margin percentage that drives discount warnings.

Expected Margin Percentage

Record the expected margin percentage beside the Product price, and the catalog can display it as a margin band. It is entered directly rather than calculated from a cost field.

Discount Guard

When a Quote-line discount eats beyond the Product's expected margin percentage, KudosCRM flags the line before the Quote is sent. The warning is rule-based and explainable.

Discount Rules Library

Create reusable discount rules with a rule name, percentage, minimum quantity, customer tier, and active status. These rules live with the Product and pricing controls rather than being buried inside individual Quotes.

One-Click Suggestions and Approval Backstop

When a Quote qualifies for a configured rule, the Quote Builder can surface the matching discount and the rep chooses whether to apply it. A deeper Quote discount can trigger the existing Quote approval gate, moving the Quote to Pending Approval until an authorised manager approves it.

Product prices use validated ISO currencies, and Quote, Order, and Invoice records snapshot their currency as the commercial process progresses. KudosCRM does not invent FX conversions between currencies.
