Secure Quote Signing Links

Every quote receives its own unique tokenized link. Tokens are unique across workspaces, stable rather than regenerated, protected from duplicate generation, and drawn from a character set that leaves out look-alike characters — so the link survives being read aloud or retyped.

Branded Customer Experience

The signing page keeps the customer experience consistent with your business. Customers can view quote details, products and services, discounts, taxes, validity period, notes, terms, and a PDF download.

Accept Quotes With a Typed E-Signature

Customers approve by typing their name. The signing process works without customer accounts, app installation, or a separate signing platform, which keeps approval simple while still recording the acceptance.

Support a Single Customer Signer

The current workflow supports one signer, one signature, and one acceptance action per quote. There is no counter-signing or multi-party signing order today.

Prevent Invalid Acceptance

KudosCRM re-checks quote validity at the moment of acceptance, so an expired quote cannot be signed even if the periodic expiry process has not caught up with it yet.

Follow Quote Signing Status

Track the customer journey through Sent, Viewed, and Accepted. When a customer opens the quote for the first time, KudosCRM records the viewed event and updates the related CRM activity.

Capture the Acceptance Details

Each acceptance stores the typed name, IP address, user agent, and timestamp against the quote. Be aware of the current limit: those details are stored but are not yet surfaced anywhere in the app, so KudosCRM cannot produce a signature certificate for you today. If you need a viewable, exportable signing audit record for compliance, treat that as not yet available.

Keep Approval History Connected

Signature activity stays connected to the Contact timeline, the Deal timeline, and the quote history, so sales teams can see customer approval without searching through emails or separate documents.

Protect Signed Quotes After Customer Approval

Once a customer accepts a quote, the approved version should stay unchanged. KudosCRM protects signed quotes by locking the accepted version.

Freeze Accepted Quotes

After acceptance, quote editing is disabled and changes to accepted values are blocked, so the customer-approved version stays exactly as it was signed.

Keep Previous Versions Available

Teams can still review earlier quote revisions. Previous versions remain available as read-only history without altering the accepted quote.

Keep the Same Document Version Everywhere

The same PDF is used across customer viewing, download, and email attachment, so customers and teams always reference the same approved quote.
