Connect Zoom to KudosCRM

Connect your Zoom account so every meeting booked through your booking pages gets a Zoom join link automatically. Covers connecting, choosing Zoom on an event type, testing the connection, disconnecting, and what KudosCRM stores.

Connect Zoom once and KudosCRM creates a Zoom meeting for every booking or scheduled meeting that uses Zoom as its location. The attendee join link goes on the confirmation email, the calendar invite and the meeting record.

Before you start

  • You need the Manage integrations permission (admins and managers have it).
  • Your email address in KudosCRM must be verified.
  • You need a Zoom account. Free and paid Zoom plans both work.

Connect your Zoom account

  1. Open Integrations from the left sidebar.
  2. On the Zoom card, click Connect.
  3. Zoom opens in a popup. Sign in if asked, review the permissions and click Allow.
  4. You are returned to Integrations and the Zoom card shows Connected with the account email.

If the popup was blocked, KudosCRM falls back to a full-page redirect and brings you back to Integrations afterwards.

Use Zoom on a booking page or event type

  1. Go to Meetings → Event types and open the event type.
  2. Under Where, choose Zoom.
  3. Save.

From now on, each booking on that event type creates a scheduled Zoom meeting on the host's Zoom account. Attendees receive the join link in their confirmation email and calendar invite. The host sees it on the meeting in Meetings → Calendar and on the contact's timeline.

You can also pick Zoom as the location when scheduling a meeting from a deal, contact or the calendar.

Which Zoom account is used

KudosCRM uses the Zoom account connected by the meeting's host. If the host has not connected Zoom, it uses any Zoom account connected in the workspace. If nobody has connected Zoom, the booking is still saved, but without a join link, and the host is notified.

Personal Zoom URL fallback: on the event type you can paste your personal meeting room URL under Personal Zoom URL. If a Zoom meeting cannot be created, that link is used instead, so bookings never go out without a way to join.

Test the connection

On the Zoom card, click Manage → Test connection. KudosCRM refreshes the token, checks that Zoom granted the permission to create meetings, and pings Zoom. The result tells you exactly what to fix if something is wrong.

Disconnect Zoom

On the Zoom card, click Manage → Disconnect. KudosCRM tells Zoom to revoke its access and deletes the tokens it holds. Existing meetings keep their join links.

You can also remove KudosCRM from your Zoom account: sign in at zoom.us, open Added Apps, and remove KudosCRM. Zoom notifies KudosCRM, which deletes the tokens and the Zoom profile details it stored.

What KudosCRM stores

  • The access and refresh tokens Zoom issues, encrypted at rest.
  • Your Zoom name, email and account ID, to show which account is connected.
  • The join links of the meetings KudosCRM created.

KudosCRM never reads your existing meetings, recordings, chats or contacts, and never stores the host start link. See the privacy policy for details.

Troubleshooting

  • "Zoom not configured" — your workspace's administrator has not set up the Zoom app on the server. Contact support.
  • "This app is not published" on Zoom's consent screen — your Zoom account is not yet allowed to install the app. Contact support to be added to the beta.
  • Meetings are created but there is no join link — run Test connection. A missing permission means the app's scopes changed; disconnect and connect again.
  • Join link missing on one booking — Zoom may have been unreachable at that moment. Reschedule or paste a link on the meeting; set a Personal Zoom URL on the event type to avoid this in future.
