How to set up sales territories

Build a territory hierarchy with effective dates, priorities, and a manager plus reps, then let assignment route leads, companies, and deals to the right team — with a full assignment-history audit.

A territory is a slice of your market — a region, an industry, a company-size band — with a manager and reps who own it. Territories let you route work by who should own a segment, instead of writing one routing rule per rep. In KudosCRM, a territory carries a hierarchy, effective dates, priorities, and rule conditions, and assignment uses them to route leads, companies, and deals automatically.

This guide walks you through defining a territory, setting its conditions and team, ordering overlapping territories by priority, and confirming that assignment routes the right records — all with an audit trail so you can see exactly who got what and when.

Before you start

  • A KudosCRM account with permission to manage territories.
  • Reps and a manager to assign, and a clear idea of how you slice your market.
  • The conditions that define each territory (e.g. country, state, industry, or company size).

Good to know

Territory assignment routes leads, companies, and deals — not just leads. Effective dating lets you schedule a change in advance (a reorg that starts next quarter), and every assignment writes an audit entry plus a timeline event, so a re-org is fully traceable. Set your demo and test data to US defaults (US states, USD) to match the global standard.

Set up a territory, step by step

  1. Open Territories

    Go to Settings → Territories. You'll see any existing territories and their hierarchy. Territories can nest — for example a 'North America' parent with 'US West' and 'US East' children — so model your structure the way your org chart actually works.

  2. Create the territory and name it

    Add a new territory with a clear name like 'US West' or 'Mid-Market — Healthcare'. If it belongs under a parent, set the parent so it inherits its place in the hierarchy.

  3. Define the matching conditions

    Set the rule conditions that decide which records belong to this territory — for example state is CA, OR, or WA. A lead, company, or deal whose fields match these conditions is eligible to be assigned to this territory.

  4. Assign a manager and reps

    Add the manager who owns the territory and the reps who work it. When assignment routes a record to this territory, it lands with the right owner — no per-rep routing rule required.

  5. Set the priority

    If territories can overlap (a record matches more than one), set a priority so the right one wins. Higher-priority territories are chosen first, which lets a specific segment ('Strategic accounts') take precedence over a broad region ('US West').

  6. Set effective dates (optional)

    Give the territory a start — and, if it's temporary, an end — date. Effective dating lets you stage a reorg in advance: define next quarter's territories now, set them to take effect on the first of the quarter, and let them switch over automatically.

  7. Save and verify the routing

    Save, then create or open a record that should match — say a company based in California. Confirm it's assigned to the right territory and owner, and check the assignment-history audit and the timeline event that records the move.
