What is an AI sales assistant?

“AI” is the most over-used word in software right now, and sales tools are ground zero. So it's worth being precise about what an AI sales assistant actually is — and, just as usefully, what it isn't. The short version: it's a tool that uses a language model to do the language-heavy work of selling, grounded in your own data, while you keep control of what goes out the door.

A working definition

An AI sales assistant uses a large language model to do the writing-heavy parts of selling — drafting and replying to emails, summarizing where a deal stands, extracting details from a document. The useful ones share two traits: they're grounded in your CRM data, and they're human-in-the-loop. Strip either one out and you have something less useful — a clever chatbot in a separate tab, or an autopilot you can't trust on customer email.

The test of a good assistant: does it read your actual record before it writes, and does it stop and let you approve before anything sends or saves? Grounded, and human-in-the-loop. Everything else is a detail.

Why “grounded” is the whole game

You can open a chatbot in another tab and ask it to write a follow-up email. It'll produce something fluent — and generic, because it has no idea who this buyer is, what stage the deal is at, or what was said on the last call. You end up pasting all that context in by hand, which is most of the work you were trying to avoid. An assistant built into the CRM already has the thread, the deal, and the notes. That's the difference between a draft you rewrite and a draft you send.

What a good one actually does

Generative AI is strongest on language — writing, reading, restructuring text — so the jobs worth handing an assistant are the ones that are pure language work. These four cover most of it.

Read a PDF or document and propose the structured values inside — names, amounts, dates — for you to confirm, instead of re-keying them into the CRM by hand.

4. Draft from a prompt

Why the human stays in the loop

There's a real difference between an assistant that drafts and one that acts. Drafting makes you faster while leaving you in control — you read the email, fix what isn't you, and hit send. Acting autonomously — sending mail, editing records, making decisions — trades that control for speed, and on customer-facing communication that's a bad trade. The strongest assistants are deliberately power tools, not autopilots: they propose, you dispose.

What it isn't (and the hype to watch for)

Not everything labeled “AI” in a sales tool calls a model. A “deal risk score” or “win-probability” is often rule-based or statistical math wearing an AI badge — useful, sometimes, but not generative AI, and not an assistant.
