Draft and reply to emails with AI

Let Kudos AI compose a new email from the thread and the deal, reply in context, rewrite or retone what you've written, translate it, and suggest a subject line — and you approve every word before it sends.

Updated August 2026

The slowest part of working a deal is usually the writing — the follow-up nobody got to, the reply that needs the right tone, the note you'd send if you had ten more minutes. Kudos AI takes that on: it reads the email thread and the deal it's attached to, then drafts in your voice. Because it has the actual record, the draft references the right deal, the right next step, and the right names — not a generic template.

This guide covers the writing actions you'll use most: compose a fresh email, reply in context, rewrite or improve a draft, change its tone, translate it, and get a subject-line suggestion. Every one of these is a real Claude call grounded in your CRM — and every one is human-in-the-loop: Kudos AI never sends or saves on its own. You read, edit, and hit send.

Who this is for

Reps and account managers who write a lot of email from inside KudosCRM and want a faster first draft they stay in control of.

Before you start

  • A connected email account (Settings → Email) so you can compose and send.
  • A contact, deal, or thread open — the assistant grounds its draft in that record.
  • AI enabled for your workspace (usage is logged and quota-guarded per workspace).

What's real AI here — and what's not yet
The email assistant is a genuine Claude (haiku-4-5) call: compose, reply, rewrite/improve, change tone, translate, and subject-line + preheader suggestions all run a real model grounded in your record. Everything is clearly AI-labeled, human-in-the-loop (nothing sends or saves until you approve it), and usage is logged and quota-guarded. The separate conversational 'copilot' chat panel is a demo router today — not a real model — so it's marked 'Soon' and not part of this workflow.

Write the email with AI

  1. Open the email composer on a record
From a contact, company, or deal, start a new email — or open an existing thread to reply. Kudos AI uses the open record as context, so the draft already knows which deal and which person it's about.
  2. Ask AI to compose or reply
Choose 'Draft with AI'. For a new message it composes from the deal and any thread history; for a reply it reads the conversation and answers in context. The draft lands in the editor, never in the recipient's inbox.
  3. Rewrite or improve what you've got
Already started writing? Select your text and ask AI to rewrite or improve it — tighter, clearer, or more complete — while keeping your point intact.
  4. Change the tone
Shift the same message warmer, more formal, more direct, or more concise. Useful when the words are right but the register is off for this buyer.
  5. Translate it
Translate the draft into the recipient's language without leaving the composer — handy for global deals where the buyer reads in something other than English.
  6. Get a subject line (and preheader)
Ask AI to suggest a subject line and preheader that match the body, so the email earns the open before anyone reads it.
  7. Read it, edit it, then send
Treat every draft as a first draft. Read it, fix anything that isn't quite you, and hit send yourself — the assistant deliberately stops before sending so a human always decides.

What you get

  • A first draft that already references the right deal, person, and next step.
  • One-click rewrite, tone-change, and translation without switching tools.
  • Subject-line and preheader suggestions that match the message.
  • Full control — nothing sends or saves until you approve it, and every use is logged.

Frequently asked questions

Does Kudos AI send the email for me?

No. The assistant only writes the draft — it never sends or saves on its own. You read it, edit anything you want, and hit send yourself. That human-in-the-loop step is by design, so a person always decides what actually goes out.

Is the email assistant a real AI, or a template engine?

It's a real AI — a genuine call to Anthropic's Claude (haiku-4-5) model, grounded in the actual thread and deal. It isn't a fixed template or a mail-merge: it reads the context and writes for this specific message. Every use is clearly AI-labeled and logged.

What can the assistant do besides compose a new email?

It can reply in context to an existing thread, rewrite or improve a draft you've started, change the tone (warmer, more formal, more concise), translate the message into another language, suggest a subject line and preheader, and generate a content block. They're all real model calls on the email you're working on.

Can the AI answer questions or chat with me about the deal?

Not yet as a real model. A conversational 'copilot' chat panel is on the roadmap (shown with a 'Soon' pill) — today it's a demo router, not a live AI. The writing and extraction actions described here are the genuinely AI-powered ones; we'd rather tell you that plainly than overstate it.

Is there a limit to how much I can use it?

AI usage is logged and quota-guarded per workspace, so you can see what's been used and stay within your plan. If you hit the limit, the assistant tells you rather than failing silently.
