What is lead capture? The first lesson in your revenue loop

Lead capture is how an interested stranger becomes a record your team can actually work. This lesson covers what it is, why it matters, how to do it well, and what happens the moment a lead is captured — so the rest of the loop has something to run on.

Lesson 1 of 14Module 1 — Attract & Capture~7 min read · Informational

The objective

Capture every interested lead — with its source attached — so nothing leaks before it reaches your team

Every revenue loop starts the same way: a stranger raises their hand. They fill in a form, book a call, reply to a campaign, or hand over a card at an event. Lead capture is the discipline of turning that signal into a structured record the moment it happens — instead of a notification you'll forget or a row in a spreadsheet nobody owns.

Done well, capture answers two questions at once: who is interested, and where did they come from. Get both right at the moment of capture and the rest of the loop — qualification, pipeline, reporting — has clean, attributed data to run on. Get it wrong and you spend the rest of the quarter reconstructing where your best deals came from.

In this lesson

  • What lead capture is (and how it differs from lead generation)
  • Why the moment of capture matters more than anything after it
  • The four channels a lead can arrive through
  • How KudosCRM captures leads — honestly, feature by feature
  • What happens next: the hand-off to qualification

The definition

What is lead capture?

Lead capture is the process of collecting people who show interest in your product — through a form, a booking, a campaign, or an import — and turning them into structured, trackable records you can follow up with. The hallmark of good lead capture is that it attaches the lead's source at the instant it arrives, so attribution is never reconstructed by hand later.

It's easy to confuse lead capture with lead generation, but they're two different jobs. Lead generation is the broad effort to create interest — the ads, the content, the events, the outreach that get people to raise their hand. Lead capture is the precise moment that interest becomes a record you own. Generation fills the top of the funnel; capture makes sure none of it leaks out before it reaches your CRM.

Why does the distinction matter? Because most teams pour money into generation and then lose a chunk of it at the capture step — a form that emails someone who forgets to log it, a booking that lives in a calendar nobody connects to the pipeline, a list that never gets imported. The leak is invisible until you try to prove which channel produced revenue. This is why the first lesson of the revenue loop is about capture, not generation: you can't score, route, or close a lead you never captured properly.

Why it matters

Three things great lead capture always gets right

The tools change, but the principles don't. Whether you capture leads through a form, a booking link, or an import, the difference between capture that compounds and capture that leaks comes down to these three habits.

Capture to a record, not an inbox

A lead that lands as an email notification is a lead you'll forget. Good capture writes straight onto a structured record the whole team can search, score, and work — the moment it arrives.

Attach the source at the moment of capture

Where a lead came from — the form, the campaign, the UTM parameters, the landing URL — is easy to keep at capture time and nearly impossible to reconstruct later. Capture it once, attribute it forever.

Make capture trigger the next step

Capture isn't the finish line; it's the starting gun. A new lead should be able to fire an automation immediately — notify a rep, send a welcome, start a sequence — so nothing waits on someone watching the inbox.

How to capture leads

The four channels a lead can arrive through

A complete capture system meets people wherever they decide to raise their hand. In practice that comes down to four channels — and the goal for each is the same: the interested person lands as a tracked lead, with its source attached, ready to work.

Online forms

A form is the front door. Build one with 13 field types, then share it as a hosted page or embed it on your site. Every submission becomes a lead — no developer, no spreadsheet in between.

Booking links

Some leads are ready to talk now. A scheduling link lets a prospect book a meeting themselves; the booking creates the lead and assigns it to the right rep via round-robin host assignment.

Your own forms (inbound)

Already have a form in Webflow, WordPress, or hand-written HTML? Point it at the inbound endpoint and common fields — name, email, phone, company — auto-map onto a new lead.

CSV import

A list from a webinar, a trade show, or another tool still counts. Map the columns once and import; duplicates are matched against existing records instead of doubled.

How KudosCRM does it

Lead capture, the honest version

Here's exactly what KudosCRM does at the capture step — no more, no less. A real example: Sarah Mitchell at Apex Technologies submits a demo-request form on your site. The form has the fields you chose from 13 field types; a hidden field carries the UTM tags she arrived with. The instant she submits, KudosCRM creates a lead, attaches the source and campaign, matches her against existing records so she isn't duplicated, and can fire an automation to notify the right rep — all without anyone watching an inbox.

Forms are single-step and protected by a honeypot field, not a captcha. That's a deliberate, honest scope: it keeps the visitor's path frictionless while still blocking common bot spam.

What's actually built today

  • Drag-and-drop form builder with 13 field types
  • Hosted public form pages (no login for the visitor)
  • Embed the same form on any website
  • Inbound forms — bring your own HTML, fields auto-map
  • Outbound webhooks on every submission (up to 20 destinations)
  • Booking links with round-robin host assignment
  • Lead sources with campaign & UTM attribution
  • CSV import with duplicate matching
  • Spam protection via a honeypot field

Not built (so we don't teach it): multi-step or conditional forms, an “Other” free-text option, captcha, native QR generation, or a landing-page builder. The honeypot is the spam protection that ships today.

What happens next

From captured to qualified

Capture is Lesson 1 because it feeds everything after it. The instant a lead is captured it becomes a real record with its source attached — and the next question is the one Lesson 2 answers: which of these leads deserve attention first? That's qualification — scoring each lead on fit and engagement, then routing it to the right rep. A clean capture step is what makes qualification trustworthy; a leaky one poisons every score downstream.
