Some work comes back every week — a Monday pipeline review, a monthly renewal check, a quarterly account audit. A recurring task means you set it up once and KudosCRM keeps it coming back, so a routine never depends on you remembering to recreate it.

This guide sets up a recurring task and adds a checklist to it. A checklist breaks one task into the small steps it actually takes — add items, tick them off, and watch the progress percentage climb so you know at a glance how far along you are.

Before you start

  • A KudosCRM account with permission to create tasks.
  • A clear cadence for the routine — daily, weekly, or monthly, and how often it repeats.
  • The record it belongs to (a deal, contact, or company) if you want the task to ride that record's timeline.

Recurring tasks repeat on completion
KudosCRM creates the next occurrence when you finish the current one — not on a fixed future calendar. So your daily, weekly, or monthly task keeps coming back as you close each one out, and you won't find a stack of pre-scheduled future copies sitting in your list.

Set up a recurring task with a checklist, step by step

  1. Create the task
    Open Tasks and add a new task. Give it a clear title, set a priority (urgent, high, medium, or low), assign it to the right person, and add a start and due date. Link it to a deal, contact, or company if it belongs to a record.
  2. Turn on recurrence
    Set the task to repeat and choose the cadence — daily, weekly, or monthly — with an interval (for example, every 2 weeks). When you complete this task, KudosCRM creates the next one for you.
  3. Add a checklist
    Break the task into a checklist of sub-steps. For a renewal check that might be: pull usage, confirm seats, draft the email. Add as many items as you need and reorder them to match how you actually work.
  4. Optionally start from a task type
    Pick a seeded task type — Call, Email, Meeting, Follow-up, Demo, or Contract review — to get its fields and a default checklist pre-filled. Each type can set a default turnaround time that fills in the due date when you create the task.
  5. Set a reminder
    Add a reminder so the task surfaces before it's due. Reminders arrive in-app and as a web push, and tasks with a due date can sync to your Google Calendar so they show up alongside your meetings.
  6. Work the checklist and complete
    Tick off checklist items as you go — the progress percentage updates live. When every step is done, complete the task. If it's recurring, that completion is what spins up the next occurrence.

Frequently asked questions

Are checklists the same as subtasks?

On a standalone task, the sub-steps are a checklist — you add items, tick them off, and a live progress percentage shows how far along you are. They don't have their own assignees or due dates. A full nested parent-and-child subtask tree lives inside project work items, not on a standalone task.

When does the next recurring task appear?

When you complete the current one. KudosCRM creates the next occurrence on completion rather than materializing a run of future-dated copies. That keeps your list honest — what's there is what's actually open — and means a routine pauses naturally if you stop completing it.

Can I change the cadence after I've set it up?

Yes. Edit the task and adjust the recurrence — switch between daily, weekly, and monthly, or change the interval. The change applies to occurrences created from that point on. You can also turn recurrence off entirely if the routine ends.

How do reminders reach me?

Reminders surface in-app and as a web push notification, and a task with a due date can sync to your Google Calendar so it appears next to your meetings. The creator and assignee automatically follow the task, so they stay in the loop on changes and comments.
