Knowledge Base & Help Center Software Built Into Your CRM
Write the answer once and publish it everywhere your customers look. KudosCRM handles the search, the freshness, and the deflection while agents answer from the same articles beside the ticket and customers self-serve on a white-label help center at its own address.

Contact form: suggesting 3 articles as the visitor types…
deflected ✓The Short Version
What Is KudosCRM Knowledge Base?
KudosCRM Knowledge Base is knowledge base software with a customer-facing help center, built where your tickets live. One library of articles serves three surfaces: your agents inside the CRM, your customers on a branded self-serve help center, and visitors inside the chat widget.
Write Once, Answer Everywhere
A rich article model with categories, tags, related articles, and multi-locale support, searched from the ticket, the help center, and the widget.
A White-Label Help Center
A customer-facing help center at its own address, with hero search, sections, a contact form, and your branding. Nothing served mentions KudosCRM.
Deflection Before Filing
The contact form suggests matching articles as the visitor types their subject, so the ticket is the last resort, not the first click.
A Portal Without Passwords
Customers sign in with a magic link, see all their own requests, and reply to reopen them. No accounts, no passwords, no friction.
Safe to author in, honest to publish from. Bodies are XSS-sanitized whenever they change, publishing is a narrower right than editing because a published article is readable on the internet, and every counter on the analytics page is deduped and shown with its real numerator and denominator.
Authoring
Write It Once, Keep It Current
You author in a real editorial system, not a wiki that quietly rots. Lifecycle, freshness, and search are all built to keep the answer findable and true.
A Rich Article Model
Title, slug, excerpt, an HTML or Markdown body, locale, tags, pinning, ordering, related articles, category, and author — with inline images that can never orphan.
Four States, Plus a Schedule
Draft, in review, published, and archived, with schedule-ahead publishing: set the date and a five-minute sweep flips the article live for you.
Freshness You Can Enforce
Review-due dates, last-reviewed-by, a staleness state, and expiry. This is a knowledge base you can keep current, not just fill.
Search That Forgives Typos
Weighted full-text search ranks the title highest, then excerpt and tags, then body, and a trigram index catches partial words and misspellings. The right article surfaces even when the query is wrong.

Agent Side
The Answer, Beside the Ticket
Your agents never leave the CRM to find the article. They search it, read it, and point the customer to it from the ticket they are answering.
Search and Read Inside the CRM
Browse, search, and read articles from the agent side, filtered by status and category, one keystroke from the queue.
Relevant Articles on the Ticket
The ticket assist panel links matching articles into the reader, so the agent shares the canonical answer instead of retyping it.
Publishing Is Earned, Not Assumed
Publish is deliberately a narrower right than edit, because publishing makes an article anonymously readable on the internet. Interns draft; owners publish.
An API for the Bulk Work
A REST endpoint for articles handles bulk seeding, and AI tools can list and create articles — both gated behind the manage-articles permission.
Public Help Center
A Help Center Your Customers Never Know Is Ours
Publish selected articles to a customer-facing help center that carries your name, your colors, and your footer. It is deployed and serving today, and our own help center runs on it.
White-Label, at Its Own Address
Every workspace's help center serves at its own address at help.kudoscrm.com/your-slug, with hero search, sections, article pages, a search page, the contact form, and the portal. Nothing served mentions KudosCRM.
Three Visibility Modes
Public, sign-in required for a gated customer knowledge base, or internal-only — with a draft, live, or disabled status per help center.
Your Brand, Your Toggles
Accent color, logo, footer links, and a title template, plus feature toggles for search, the contact form, and the chat launcher, which warns you if chat is on but no widget key exists.
A Reading Experience That Respects the Reader
Callouts, step discs, an automatic table of contents, and reading time on every article.
Never Stale
The help center fetches live — no cache window, no purge step. A published edit is on the next page load.
More Than One, in More Than One Language
A workspace can run multiple help centers on globally unique slugs, with per-locale articles and a default locale per help center.
Deflection & Analytics
Deflect the Ticket, Keep the Signal
A help center should answer questions before they become tickets, and tell you which questions it failed to answer. KudosCRM does both, with numbers you can trust.
The Last Resort, Not the First Click
As a visitor types their subject into the contact form, matching articles are suggested on the spot. Many never need to press submit.
The Search Trail Rides the Ticket
When they do file, what they searched and which articles they opened ride onto the request, so the agent sees what the customer already tried.
The Search & Gaps Report
Total searches, no-result rate, click-through rate, top queries with no results, most-read articles, and an article-health list. Every ratio is shown with its numerator and denominator, and an empty metric shows a dash, never a fake zero.
Counters That Don't Flatter You
Views are deduped per visitor over 30 minutes, so a refresh never inflates the count, and helpful votes are one per visitor per article, with an optional comment.
A Deflection Rate, Honestly Labeled
Search sessions that didn't end in a ticket, labeled an approximation in the product itself — because a number you can defend beats a number that impresses.

Customer Portal
A Customer Portal Without Passwords
Give customers a place to see their own requests without creating one more account in the world.
Magic-Link Sign-In
A 15-minute, single-use emailed link becomes a secure 7-day session. No passwords, no account creation, no reset flows.
My Requests
Customers see all their own requests and open any one, scoped strictly to the email the link verified.
A Reply Reopens It
A customer reply on a solved, pending, or on-hold request reopens it, and email replies obey the same rule.
Their Word Is “Request”
Customers see “request” everywhere; agents keep “ticket.” Small words, better conversations.
Built Like It Handles Customer Data
A dedicated portal payload that never uses the agent serializer, CSRF protection on writes, and branded confirmation and code emails.
Status from the Widget Too
Visitors who cannot carry the portal cookie unlock their request status from the chat widget with a 6-digit emailed code.
What's Not Here Yet, Told Straight
Custom domains for the help center are not built yet — your help center lives at help.kudoscrm.com/your-slug. AI answers on the help center pages themselves are not live either; today the AI answers from help-center content in live chat, where it is real. And articles do not keep a version history yet. We would rather tell you than let a settings screen imply otherwise.
How It Works
How Does a CRM Knowledge Base Reduce Tickets?
From the first draft to the gap report, here is what actually happens along the way.
Write the Article
Capture the recurring answer with a clean slug, a category, and a review-due date.
Publish It, or Schedule It
Move it through review to published, or set a date and the sweep flips it live for you.
It Serves Three Surfaces
Agents search it beside the ticket, customers read it on the help center, visitors find it in the chat widget.
See What They Searched and Didn't Find
No-result queries, click-through, and the deflection rate show where the knowledge base is thin.
The AI Answers from It
The chat AI agent retrieves from your published articles and logs every question it couldn't answer.
Close the Gaps
Unanswered questions and no-result queries become the next articles, and freshness dates keep the old ones true.

KudosCRM Knowledge Base vs. a Standalone KB Tool
One Answer, Three Surfaces, & Zero Repeats
The knowledge base is part of KudosCRM, not another tool your answers have to be copied into.
Knowledge Base Software for Every Industry
Different industries answer different recurring questions — a policy clause, a returns rule, an onboarding step, a billing cycle. KudosCRM keeps the answer written once and served everywhere, whichever industry you work in.
Connected to the Rest of the Conversation
The help center's contact form files real tickets with typed intake, the chat widget carries the knowledge tab and the AI agent, and Slack keeps the team notified as requests arrive — while the email behind every ticket stays on the same customer record in Gmail and Outlook. One library, every door.
