How it works

How the Follow-Up Email Generator Works

Three steps. The only part that needs you is the detail only you know.
  1. Step 1

    Pick the Situation

No reply yet, after a meeting or demo, a proposal or quotation that went quiet, a trial ending, a deal gone cold or an overdue invoice. Then choose Email, WhatsApp or LinkedIn.

  2. Step 2

    Add What You Know

Their first name and what it's about. Open More options to set the ask, tone and language, or add an objection, something new to share or their last message. The more real detail you give, the less you'll need to fill in.

  3. Step 3

    Copy or Send

You get three versions, or a three-step sequence, each with a subject line and a send day. Edit any of them, then copy, or open it straight in Gmail, Outlook or WhatsApp.

Timing

Follow-Up Timing by Situation

When to send matters as much as what you say. These are the send days the generator suggests for each situation.
When to send the first follow-up, and what to do after that, by situation
No reply yet First3–5 business days after your first emailThenSpace the next two further apart (about a week, then two), each with something new.
After a meeting or call FirstSame day, ideally within a couple of hoursThenCheck in on the agreed next step after 2–3 business days, then once more a week later.
After a demo FirstWithin 24–48 hoursThenFollow up on open questions after about 3 business days, then again the week after.
Proposal sent First2–3 business days after sending itThenOffer to adjust scope, timing or price a week in, then close the loop at two weeks.
Quotation sent First2–3 business days after sending itThenAsk whether anything needs revising a few days later, then confirm before the quote expires.
Trial ending First3–5 days before the trial endsThenA short reminder two days before it ends, then one note the day after.
Deal gone cold FirstAfter a real pause, when you have something new to shareThenGive it a week, then about two more before a last, polite note.
Gentle payment reminder FirstThe day after the due dateThenA second reminder a week later, then a firmer note at two weeks.

These are practitioner guidelines drawn from published sales playbooks, such as Outreach's follow-up email templates and HubSpot's advice on following up after no response, plus our own judgement for trials, cold deals and invoices. They're rules of thumb, not measured optimums: adjust them to how quickly your buyers usually move.

Cadence

How Many Follow-Ups Should You Send?

Send three messages in total, your first email and two follow-ups, as a default. For a high-value deal, up to five steps can be worth it. Stopping after one email leaves replies on the table.

Hunter's State of Email Outreach 2026 report, based on 31 million emails sent by Hunter users in 2025, found that using three messages instead of one lifted total replies from 3.3% to 6.8%. Senders who followed up three or more times saw a lower average reply rate, and Hunter calls three total emails “the optimal balance between persistence and fatigue.”

Belkins' 2026 follow-up study of 7,530,489 emails from its own managed outreach found that steps two through six together produced 58.6% of all replies, and it puts the practical range for most B2B sequences at three to five steps.

Instantly's Cold Email Benchmark Report 2026 found the first email captures 58% of replies and follow-ups capture the other 42%. Instantly recommends longer sequences, four to seven touches, so the studies don't agree on an exact number. They do agree on the direction: follow up, but don't keep going forever.

The fundamentals

What Makes a Follow-Up Email Work

Every draft the generator writes follows the same five rules. They're worth keeping when you edit.

Reference the Last Touch

Open with the meeting, the proposal or the email you're following up on, so they don't have to dig for context.

Bring One New Piece of Value

A result, a short case study, an answer to their question. One thing. A reminder that you wrote is not a reason to reply.

Make One Easy Ask

A 15-minute call this week, a yes or no, an approval by reply. Specific beats open-ended.

Keep It Short

Most follow-ups are read on a phone. Around 50 to 90 words is plenty for an email, less for WhatsApp.

Write a 4–7 Word Subject Line

Plain and specific, like “One more thing on the proposal”. No clickbait, no capitals, no fake “RE:”.

Backed by Reply Data

Gong's 2021 analysis of 304,174 follow-up emails found “Thoughts?” helped reply rates but cut meetings booked by 20%, and Hunter found five-to-six-word subject lines did best.

What to Avoid

  • “Just checking in”

It tells them nothing new and asks them to do the work of remembering why you wrote.

  • A fake “RE:” subject

Pretending they already replied reads as a trick, and it costs you trust you'll need later.

  • Guilt

“I guess you're not interested” makes replying uncomfortable. Make “no” easy instead.

Beyond email

WhatsApp and LinkedIn Follow-Up Messages

In India and Nepal, a lot of business runs on WhatsApp, so a follow up mail isn't always the fastest way to reach a buyer. The same rules apply, only shorter: say who you are in the first line, refer to the exact quotation, order or invoice, and ask one easy question.

Pick WhatsApp as the channel and the generator keeps each message under 60 words, with no subject line and no sign-off block, and adds an Open in WhatsApp button so you can choose the chat and send.

Pick LinkedIn and you get a short, personal message of 80 words or fewer, with an opening that reads well in the message preview.

  • Send during working hours
  • Leave a few days between messages
  • Quote the exact order or invoice number
Quotation follow-up on WhatsApp

Hi Anjali, Suman from Everest Interiors here. I sent the quotation for the office furniture order a few days ago. [Add one useful detail, e.g. the delivery time or exactly what's included.] A quick reply either way would help.
