Good quotes start with good pricing. KudosCRM separates what you sell (the product catalog) from how it's priced (price books), so the same product can carry different prices for different customers — and the quote builder always resolves the right number.

This guide sets up the catalog, builds a scoped price book with effective dates and quantity tiers, and configures the discount threshold that routes over-discounted quotes for approval.

Before you start

  • A KudosCRM account with permission to manage products and pricing.
  • Your product or service list, with prices and (ideally) cost basis.
  • Your pricing policy — any tier, territory, or partner pricing, and your max discount before sign-off.

How the pricing engine resolves a price
When a product hits a quote, KudosCRM picks the most specific active price book — partner over territory over customer tier — then the best matching quantity tier within it, then falls back to the product's list price. The resolution is deterministic, so the same inputs always produce the same price.

Set up your pricing, step by step

  1. Add your products
    Create each product with a SKU, name, list price, cost basis, margin, tax rate, billing cadence (one-time, monthly, yearly, usage), status, and tags. Cost-next-to-price means margin is visible on every quote line.
  2. Create a price book
    Add a named price book — your tenant default, or one scoped to a customer tier, territory, or partner. Each book holds its own prices for the products you put in it.
  3. Set effective dates and priority
    Give a price book a from/to window so a price change or promo turns on and off on schedule, and set its priority so the engine knows which book wins when more than one could apply.
  4. Add quantity tiers
    On a price-book entry, add volume breaks with a minimum quantity, so larger quantities automatically get the right per-unit price on the quote — no manual math.
  5. Set your discount threshold
    Choose the maximum total discount (line plus order) a rep can apply before a quote needs manager approval. The default is 20%; set it to match your policy.
  6. Test it on a quote
    Build a test quote and add a product. Confirm the resolved price matches the price book and tier you expect, and that crossing your discount threshold triggers the approval gate.

Frequently asked questions

What's the difference between a product's price and a price book?

A product has a list price as its default. A price book is a named, scoped override of that — for a customer tier, territory, or partner — so the same product can be sold at different prices to different relationships. When you quote, the engine resolves which book applies; with no special book, the product's list price is used.

Can two price books apply to the same product?

Yes, and that's why books have a priority and effective dates. The engine selects the most specific active book first (partner over territory over tier), then the highest priority among equally specific ones, then the best quantity tier inside it. Effective dates make sure only currently-valid books are considered.

How do quantity tiers work?

On a price-book entry you can set volume breaks — a minimum quantity and the price that applies at or above it. When a quote line's quantity reaches a break, the per-unit price drops automatically, so volume pricing is consistent and never hand-calculated.

Can I import my catalog from a spreadsheet?
