Orders: fulfil, cancel and track

An order is what a quote becomes once it is accepted. Tracking it through fulfilment is how the commercial agreement stays connected to the work and the invoice.

The order is the hinge between selling and delivering. It records what was actually agreed and carries that forward into invoicing and delivery, so nothing is retyped at the handover.

The order is the handover point
Everything downstream reads from the order — the invoice, and the delivery project whose budget is seeded from it. Getting the order right matters more than getting the quote pretty, because the order is what the rest of the business acts on.

Work an order

  1. Let acceptance create it
    An accepted quote converts to an order automatically, carrying the agreed lines and totals rather than needing re-entry.
  2. Check the lines before acting on it
    This is the last cheap moment to catch a wrong quantity or a missing item, before an invoice and a project are built on it.
  3. Fulfil it
    Mark fulfilment as the work or the shipment actually happens, so the record reflects reality rather than intent.
  4. Raise the invoice
    An invoice can be raised from the order, which is what keeps billing tied to what was actually agreed.
  5. Cancel when something falls through
    Cancelling records that the order did not proceed. Deleting it instead loses the fact that it existed, which is usually what you needed to know later.
