Cold outreach: what you must set up first

Before you send a single cold email, four things need to be in place — otherwise you damage your domain's reputation for every message your company sends, including the ones from real conversations.

Cold outreach is the highest-risk sending you will do, because the recipients did not ask for it. Getting the setup wrong does not just mean poor results — it damages the reputation of your whole domain.

Complaints and hard bounces from cold sending degrade the reputation of your sending domain. That reputation determines whether every other message from your company reaches the inbox — including a rep replying to a customer who asked a question. This is why the setup below is not optional.

Set up before you send

  1. Authenticate your sending domain
    Publish the required DNS records and get the domain to verified. Unauthenticated cold mail is treated with suspicion before anyone reads a word of it.
  2. Build the list yourself
    Purchased and scraped lists produce complaints and hard bounces at rates that damage the domain quickly. There is no sending technique that compensates for a bad list.
  3. Warm up gradually
    A domain that suddenly starts sending thousands of messages looks exactly like a spammer. Build volume over weeks.
  4. Make unsubscribing easy
    Someone who cannot find how to stop marks you as spam instead, and a complaint costs you far more than an unsubscribe.
  5. Write something worth receiving
    Relevance is a deliverability feature. Mail people engage with is delivered; mail people delete or report is not.
  6. Watch complaints and bounces from the first send
    These are the metrics that predict trouble. If they are high on a small send, stop and fix the list rather than scaling up.
