Your first hour in KudosCRM
A short, ordered path for a brand-new workspace: set the defaults that affect everything, fill in your profile, invite the people who need access, and get one real record in so the system stops looking empty.

A new CRM is at its least convincing when it is empty. The fastest way through that is to set the handful of defaults that quietly affect everything else, then get one real record in so you can see the shape of it.
This takes about an hour and is worth doing in order — the defaults in step one change how later data is stored and displayed.
Who this is for
The person setting up a KudosCRM workspace for the first time, usually a founder, admin or ops lead.
Before you start
- Admin access to the workspace. Most of step 1 and all of step 3 are admin-only.
- The email addresses of the people you want to invite.
- A spreadsheet of contacts, if you have one — optional, but step 5 is more satisfying with real data.
Do the defaults first, not last
Currency and timezone are not cosmetic. Currency is inherited by deals, quotes and products that do not set one explicitly, and timezone drives every date and time the system shows or schedules. Changing them after you have data means old records keep the value they were created with.
The first hour, in order
- Set your workspace defaults
Open Settings and set the workspace currency, timezone and working hours. These are the values everything else inherits — see the dedicated article for what each one actually controls. - Fill in your own profile
Your name and avatar show up on every record you touch, every assignment, and every email you send from KudosCRM. Two minutes here saves colleagues guessing who did what. - Invite your team and give them roles
Add the people who need access and assign each one a role. Roles decide what someone can see and change, so it is worth getting right before anyone starts working rather than after. - Build one pipeline
Do not model every sales motion you have ever run. Build the one your team actually uses, with stages you can honestly tell apart, and add more later. - Bring in some real data
Import your contacts and companies from a spreadsheet, or run the Pipedrive migration if you are coming from there. Imported records are matched against existing ones rather than duplicated. - Connect your email
Connecting a mailbox is what makes the timeline fill itself — emails auto-capture onto the matching contact instead of needing to be logged. - Create one deal by hand
Walk one real opportunity through your new pipeline end to end. It is the fastest way to find out whether your stages make sense before the whole team is depending on them.

Frequently asked questions
Can I change the currency or timezone later?
Yes, both are editable settings. But records created before the change keep the currency they were created with, so the earlier you set it the less cleanup there is.
Should everyone be an admin to start with?
No. It is far easier to grant access than to take it back after someone has been working with it. Give people the narrowest role that lets them do their job.
Do I have to import data to use KudosCRM?
No. You can start by creating records by hand or by capturing new leads through a form. Importing just gets you to a useful system faster.
What if I get the pipeline stages wrong?
You can edit stages afterwards, and there are guardrails around deleting a stage that still has deals in it. Building one pipeline and testing it with a real deal is the cheapest way to find out.
