Email tracking: opens, clicks and replies

What KudosCRM records when someone opens or clicks your email, where those counts show up, and how much weight an open is actually worth.

Tracking answers a narrow question well: did this message get any attention at all? It records opens and clicks, counts them, and remembers when the first one happened.

It is worth understanding what those numbers do and do not tell you before building a process on them.

An open is a weak signal, a click is a stronger one
Open tracking depends on a remote image loading, and many mail clients block or pre-fetch those. That means opens can be missed and can also be inflated by automated scanning. A click is a much better signal of real interest, and a reply is the only one that is unambiguous. Treat opens as a soft hint, not evidence.

Use tracking

  1. Send from KudosCRM
    Tracking applies to mail sent through the system. A message sent from your mail client directly is not tracked.
  2. Read the counts on the message
    Each message records how many times it was opened and clicked, and when it was first opened. The first-open time is the one worth looking at — repeat opens are noisier.
  3. Filter campaign recipients by engagement
    In a campaign you can separate recipients who opened from those who clicked, which is the useful cut for a follow-up.
  4. Follow up on clicks, not opens
    If you are prioritising who to contact, a click is a far better queue than an open. Opens are worth glancing at in aggregate, not acting on individually.
  5. Treat a reply as the real result
    Replies land back on the record, so the conversation stays in one place. That is the outcome the other metrics are only approximating.

Frequently asked questions

Why does a message show opens from someone who says they never saw it?

Open tracking relies on an image loading, and security scanners and mail clients pre-fetch images. That produces opens no human made. It is a known limitation of the technique, not a fault in the count.

Why might a real open not be recorded?

Many clients block remote images by default. If the image never loads, there is nothing to record. This is why opens undercount as well as overcount.

What is first opened at, and why does it matter?

The timestamp of the first open, kept stable even as the count rises. It is more useful than the raw count because it tells you when the message actually got attention.

Is a reply tracked too?

Replies come back through your connected mailbox and land on the record, which keeps the whole exchange on one timeline.
