Email signatures

A signature is set per mailbox rather than per person, which is the useful way round: your personal address can sign as you, while a shared support address signs as the team.

Anyone who sends email from KudosCRM, and admins setting up a shared team address.

Before you start

• A connected mailbox.
• Your signature content — name, role, and any links you want on it.

Keep it simple, and expect sanitising
Signature content is cleaned when it is saved, so unsafe markup does not survive. Complex layouts — particularly table-based ones pasted from elsewhere — are where signatures most often come out looking different from what you pasted. Simple beats clever here, and a test send tells you the truth.

Set a signature

1. Open the mailbox in email settings
   Signatures belong to the mailbox, so open the specific account you want to sign for.
2. Write the signature
   Name, role, company, and a link or two. Resist the urge to build a layout — the more structure you add, the more likely it renders differently somewhere.
3. Set a different one per mailbox
   If you have both a personal and a shared team mailbox, give them different signatures. A shared support address signing with one agent's name is confusing for the customer.
4. Send yourself a test
   Send a real message and look at it in your own mail client. That is the only reliable check of how it actually renders.

Signature content is sanitised when saved, so some markup does not survive. Complex pasted layouts are the usual cause — simplify it and test again.

Does the signature apply to campaigns too?

Campaign and template content is built in the designer, where the sign-off is part of the design. The mailbox signature covers mail you send from a record.

Can I have no signature?

Yes. Leave it empty and nothing is appended.
