The Short Version

What Are Recurring Tasks in a CRM?

Recurring Tasks are CRM Tasks that create the next occurrence after the current one is completed, using a defined repeat cadence. KudosCRM supports daily, weekly, and monthly recurrence with intervals from 1 to 365. Each new occurrence keeps the core work definition and CRM relationships while receiving a new due date based on the previous occurrence.

Set the Cadence

Repeat every few days, weeks, or months.

Complete Before the Next Appears

The next Task is created when the current occurrence is completed.

Keep Customer Context

Owner, priority, Task Type, description, and the linked Contact, Company, or Deal carry forward.

Reuse Structured Steps

Checklist steps defined on the Task Type are seeded again for each occurrence.

No future clutter. Finish the current routine. KudosCRM creates the next one without filling your Task list with future copies.

The Cadence

Set a Repeat Schedule That Matches the Routine

Recurring work should be predictable without creating dozens of future Tasks before anyone needs them. KudosCRM uses a simple recurrence model with clear daily, weekly, and monthly intervals.

Choose Daily, Weekly, or Monthly Recurrence

A recurring Task can repeat daily, weekly, or monthly with an interval from 1 to 365 — every 2 days, every 2 weeks, every 3 months, every 90 days. The current feature does not use complex RRULE-style schedules such as “every Tuesday and Thursday” or “the third Friday of each month”.

Create the Next Task on Completion

KudosCRM does not create every future occurrence in advance. When the current Task is completed, the next occurrence is created immediately. That keeps the Task list focused on work that actually exists now.

Keep the Original Cadence Rhythm

The next due date advances from the previous due date, not from the day the rep happens to finish. If a weekly Task due Monday is completed late, the next occurrence still follows the original weekly rhythm — and may already be due, which is a nudge to catch up rather than a bug.

Prevent Duplicate Occurrences

Completing the same Task twice cannot create two future copies. The completion is claimed under a database lock, so exactly one caller creates the next occurrence.

Keep the Series Traceable

Every occurrence links back to the original recurring Task, giving the series a clear chain from one occurrence to the next.

What Carries

Carry the Right Work Into Every Occurrence

A recurring Task should preserve the work that defines the routine without blindly duplicating every piece of temporary information. KudosCRM carries the core Task definition into each new occurrence.

Keep Ownership and Priority

Each new occurrence carries the owner, priority, Task Type, and description. The routine stays assigned and recognizable from one occurrence to the next.

Keep the CRM Relationship

Recurring Tasks stay connected to the same Contact, Company, or Deal, so repeat follow-up sits beside the customer or sales record it serves. A Lead link is not carried to the next occurrence, and Project Tasks cannot recur.

Keep the Title as Written

Task Type titles can use CRM merge tags such as a Contact's first name. They render once, when the first occurrence is created, and that final text — including any edits you made by hand — carries to every later occurrence exactly as written.

Repeatable SOPs

Turn Recurring Tasks Into Repeatable SOPs

Recurring work becomes more useful when the process repeats as well as the due date. KudosCRM combines recurrence with Task Types and the ready-made Task recipe library so teams can repeat structured work consistently.

Reuse Task Type Checklists

When a checklist is defined on the Task Type, KudosCRM seeds that checklist onto each new occurrence. That makes recurring Tasks suitable for repeatable processes such as regular client reviews, renewal follow-up, recurring account checks, and periodic sales follow-up. A checklist typed manually onto one individual occurrence does not carry to the next.

Track Who Completed Each Checklist Step

Checklist items record who completed the item and when. That adds accountability to the recurring process.

Start From 40 Ready-Made Task Recipes

KudosCRM ships a library of 40 Task recipes across eight categories — sales, customer success, support, meetings, communication, documents, marketing, and admin. Enable a relevant recipe as a Task Type, apply the recurring cadence, and use it as the base for repeatable CRM work.

Every Occurrence Is a Full Task

Work Each Occurrence Like a Normal CRM Task

A recurring occurrence does not become a reduced version of a Task. Once created, it uses the normal KudosCRM Task system.

Use the Full Task System on Every Occurrence

Each occurrence is a normal CRM Task: Board and other Task views, comments, watchers, time tracking, audit history, and Task Intelligence reporting all apply.

See Due Work Where You Already Look

When the occurrence becomes due, it appears in My Day and the normal Task status views, next to everything else on your plate.

Set Reminders Per Occurrence

Recurring Tasks do not copy a reminder from one occurrence to the next. A reminder is an individual Task setting, so set one on the occurrence that needs it.

Reporting & History

Keep Recurring Work Visible in Reporting and History

Repeat work should still count as real work. Each generated occurrence is a normal CRM Task, so it contributes to the same Task reporting and audit system.

Include Occurrences in Task Intelligence

Recurring Task occurrences contribute to Task performance reporting like other CRM Tasks.

Review Completed Routine Work

Done-date filtering lets teams review what recurring work was actually completed during a selected period.

Keep Recurrence Changes Audited

Changing a Task's recurrence is recorded in the field-level audit history, so there is a record of when the cadence itself changed.

Every Occurrence Stays Accountable

Recurring creation is protected so the next occurrence is created once, and completing the same Task twice cannot create two future copies. Every occurrence links back to the original recurring Task, keeping the series traceable from one occurrence to the next. Changing a Task's recurrence is recorded in the field-level audit history, and each generated occurrence follows the normal CRM Task permission controls, so repeat work stays as governed as everything else in the workspace.

How It Works

How Do Recurring Tasks Work in KudosCRM?

The routine moves through five steps, and the next occurrence always follows the cadence.

1

Create the Task

Create the CRM Task with its owner, due date, Task Type, and related customer record.

2

Set the Recurrence

Choose daily, weekly, or monthly recurrence and the interval.

3

Complete the Current Task

Work the Task normally and complete it when the routine is finished.

4

KudosCRM Creates the Next Occurrence

The next Task is created once and receives its due date from the recurring cadence.

5

Continue the Routine

The new occurrence appears in the normal Task system and keeps the recurring series moving.
