Real Estate CRM for India: From Enquiry to Registration

Every enquiry from 99acres, MagicBricks, Housing.com, Meta or the site office lands in one list, source-tagged and assigned by round-robin to a telecaller. The site visit is a stage with a date, not a note. And the moment a visit is marked done, the 24-hour follow-up task writes itself.

Which CRM should an Indian real estate team use?

If your team runs site visits, KudosCRM fits: the pipeline is built around enquiry, visit, token and registration rather than a generic sales funnel, and the stages carry rules — required fields that block a move, and rotting limits that surface a card nobody has touched.

If you sell from unit inventory — tower and floor stock, cost sheets, a brokerage slab engine — KudosCRM is not that product today, and the honest-scope section below says exactly what is missing rather than making you find out in week three.

The honest boundary

KudosCRM is enquiry-to-booking software, not inventory-led sales software. Most agents, channel partners and pre-sales desks need the first. Developers selling a live tower usually need both.

What pipeline stages do Indian real estate teams run?

Seven stages, ready on day one, renamed to match how your team already talks.

  1. New enquiry
  2. Qualified
  3. Site visit scheduled
  4. Site visit done
  5. Negotiation
  6. Token or EOI received
  7. Booking, agreement, registration

Qualified means four things, and the board enforces all four

Budget, location, BHK, timeline. Set them as per-stage required fields and a card cannot leave Qualified until a telecaller has filled them in. That single rule is what stops a pipeline filling with enquiries nobody has actually spoken to.

Token or EOI is its own stage, not a note on negotiation

A token changes the conversation. Separating it means your weekly number is “tokens received”, which is a real commitment, rather than “deals in negotiation”, which is a feeling.

Stage rotting shows you the cards nobody has touched

Set a limit per stage. A card sitting past it surfaces on the board, so a buyer who went quiet in Site visit done is visible on Monday rather than in next quarter’s post-mortem.

Rename any of it in seconds

These seven are the starting point, not a template you are stuck with. Teams that run EOI before site visit, or split registration into agreement and registration, reorder it on the setup call.

Where do your property enquiries come from?

99acres, MagicBricks, Housing.com

Export your enquiry list as CSV and import it with column mapping, so project, budget and source land on the right fields. There is no automatic pull from the portals — enquiries arrive by export and import, or through a webhook if you have a developer.

Facebook and Instagram lead forms

Meta lead-form submissions come across so the follow-up happens the same day rather than the next week.

Walk-ins and site-office calls

A reception form creates the lead in seconds, on a phone at the desk, with the project already selected.

Channel partners

Recorded on the lead, so you can see which partner is sending volume and which is sending buyers.

Referrals from past buyers

The referrer is recorded on the record, which is the only way to know a year later who is worth calling at Diwali.

The mechanism

What happens after a site visit?

Most enquiries are not lost at the enquiry. They are lost in the three days after a site visit, when everybody is busy and nobody rings back.

The site visit is a stage with a date, not a note. Schedule it and it becomes a task on the rep’s list; with a reminder set and Google Calendar connected, it lands on that calendar too.

Moving the card to Site visit done creates the 24-hour follow-up task automatically, through a workflow. Nobody has to remember. Nobody has to be told. The task exists whether or not the rep had a good day.

That is the whole difference between a CRM that records what happened and one that makes the next thing happen.

What the manager sees each morning

Visits booked today

By rep and by project.

Visits done yesterday

And whether each one has its follow-up task closed.

Cards past their rotting limit

Which is the list of buyers going quiet.

Tokens received this week

Which is the only number that predicts the month.

Agent, channel partner, or developer pre-sales?

Full fit

If you are an agent or a small brokerage

This is the full fit. Portal and Meta enquiries in one list, visits scheduled and followed up, tokens tracked, and a manager view that takes no building.

Full fit, one caveat

If you are a channel partner

Every lead carries its source and its partner, so you can see which developer relationships produce site visits and which produce noise. Brokerage itself is tracked as a record, not calculated — there is no slab engine, no TDS handling and no milestone payout. Your finance team keeps that in their own sheet.

Partial fit

If you are a developer’s pre-sales desk

A partial fit, and worth being clear about. Enquiry handling, telecaller assignment, visit scheduling and follow-up all work. Unit inventory does not exist — no tower-floor stock, no cost-sheet generator. If your pre-sales team qualifies and hands over to a sales team that works from inventory, KudosCRM covers the first half and nothing of the second.

What KudosCRM does not do for real estate, yet

Real-estate-only tools sell the modules below. If they are why you are buying, they are the better fit and we would rather you knew now.

  • No cost-sheet generator. No unit inventory, no tower-floor stock.

  • No brokerage slab engine, no TDS handling, no milestone payout schedule.

  • No automatic pull from 99acres, MagicBricks or Housing.com. Export and import with column mapping, or a webhook.

  • No WhatsApp inbox inside KudosCRM. WhatsApp reaches us through the API and a WhatsApp Business provider; a native inbox is in development and not shipped.

  • No native Android or iOS app. KudosCRM is a responsive web app you add to your home screen, with push notifications. It works at a site visit; it is not in the app stores.

FAQ

Frequently asked questions

What is the best CRM for real estate agents in India?

The right one depends on whether you sell from enquiries or from inventory. If your team's work is enquiry, site visit, token and registration, KudosCRM covers that end to end from ₹375 to ₹999 per seat per month, with Indian portal and Meta leads in one list and a follow-up task created automatically after every visit. If you sell from unit inventory with cost sheets and a brokerage slab engine, you need a builder-focused CRM instead — we do not have those and say so on this page.

Can KudosCRM capture leads from 99acres, MagicBricks and Housing.com?

Not automatically. There is no direct connector to the portals. You export your enquiry list as CSV and import it with column mapping, so project, budget and source land on the right fields, or you push enquiries in through a webhook if you have a developer. Every lead arrives source-tagged either way, so your channel reporting still works.

How does KudosCRM handle site visits?

As a stage with a date, not a note. Scheduling a visit creates a task on the rep's list, and with a reminder set and Google Calendar connected it appears on that calendar too. When the card moves to Site visit done, a workflow creates the 24-hour follow-up task automatically. That is the step most teams lose buyers on, and it is the one thing on this page you should test in the trial.

Does it track channel partners and brokerage?

It tracks channel partners properly: the partner is recorded on every lead, so you can see which relationships produce site visits rather than just enquiries. Brokerage is recorded as a value on the deal, not calculated — there is no slab engine, no TDS handling and no milestone payout schedule. Finance teams keep that in their own workbook.

Is my data stored in India?

Yes. Your app, database and file storage all sit in AWS Mumbai, region ap-south-1. You can export your leads, deals and activity to CSV at any time without asking us, and admins control who can see and change what.

Does KudosCRM work on my phone at the site?

Yes, as a responsive web app you add to your home screen, with push notifications — so a rep can update a card and mark a visit done standing in a flat. There is no native Android or iOS app, so if your team expects to install from the Play Store, that is a real gap and it is on the roadmap rather than in the product.

Does KudosCRM work with WhatsApp?

Through the API and a WhatsApp Business provider, enquiries reach KudosCRM as leads with the phone number and first message, and each exchange is logged on the contact's timeline. A WhatsApp inbox inside KudosCRM, where your telecallers read and reply next to the record, is in development and not in the product yet. If a native inbox is the deciding factor, wait for it rather than switching now.

What does the free setup for Indian real-estate teams include?

A 30-minute screen-shared call. We import your enquiry list from CSV or XLSX with column mapping, build the seven stages with their required fields, set up the site-visit follow-up workflow, and connect Gmail or Outlook with Google Calendar. You keep the workspace and the imported data whether or not you continue, and there is no card at any stage.
