Guest details often sit in separate reservation records, marketing lists, and sales inboxes. That makes it harder to recognize returning guests, send relevant offers, and follow up on corporate or event inquiries. A CRM for hotels brings the information your team needs into a workspace where they can act on it.
The right choice depends on the work you need to improve. Guest marketing requires reservation data and lifecycle automation. Group and event sales require account records, deal stages, and reliable follow-up. Some hotels need both, but those capabilities do not come together in every product.
Which CRM is best for hotels
Revinate is a strong starting point for guest email marketing, Cendyn for coordinated marketing and loyalty across properties, and dailypoint™ for centralized guest data. Profitroom suits hotels connecting marketing to their direct booking platform, while Bookboost focuses on multichannel guest journeys. For commercial sales, compare Thynk for hospitality-specific workflows and KudosCRM for configurable corporate, group, and event pipelines.
These are recommendations by use case. The best hotel CRM software is the one that supports your required workflows, connects to your hotel systems, and fits your total budget.

How we selected these hotel CRM platforms
We reviewed official product pages, published pricing, integration documentation, and hotel software comparisons, including HotelTechReport’s hotel CRM directory. Selection focused on guest profiles, lifecycle marketing, PMS connectivity, commercial sales workflows, and suitability for different operating needs.
This is a documentation-based comparison, not a hands-on test or a universal ranking. “Best suited to” reflects our editorial assessment of the documented capabilities. A vendor partnership or directory listing confirms a published relationship, but does not establish every supported field, PMS version, or synchronization direction.
This article is published by KudosCRM and includes our own product. We distinguish its sales capabilities from hospitality-specific guest marketing and disclose the PMS integration limitation. Where vendors do not publish a comparable price, we use quote-based pricing rather than third-party estimates.
Hotel guest marketing CRM and hotel sales CRM
A hospitality guest CRM organizes reservation history, guest preferences, and engagement for targeted communication. A CDP may provide the underlying profile consolidation and data cleansing. These tools suit hotels planning pre-arrival offers, post-stay campaigns, loyalty programs, or guest recognition across properties.
A sales CRM organizes contact records, companies, inquiries, and deals. A hotel can configure it for wedding leads, corporate accounts, tour operators, or group bookings. Reservation history and PMS-triggered marketing usually require additional integration and configuration in a general CRM.
Hospitality CRM software can also combine these functions. Thynk emphasizes commercial operations, while platforms such as Cendyn connect guest and commercial data. Choose based on the workflow you need, rather than assuming every product labeled “CRM” performs the same job.
The 10 best CRM platforms for hotels by use case
1. Revinate for guest email marketing
Revinate combines guest data with hotel email marketing. Its marketing plans document identity resolution, rich profiles, segmentation, engagement history, and a PMS data connection. Higher marketing tiers add capabilities such as upsell, nurture, and cancellation recovery campaigns.
For a hotel working to improve repeat bookings, that combination makes Revinate a useful candidate. It can support audiences based on guest information rather than a basic mailing list, provided the required data reaches the platform.
Key features: Guest profiles, audience segmentation, and hotel email campaigns.
Pricing: Custom quote. The official page does not publish dollar prices for its Core Data Platform, Starter, or Pro options.
Main consideration: Confirm which campaigns and products the quote includes. Reputation management and other Revinate products should be scoped separately rather than assumed to be part of every marketing plan.
2. Cendyn for marketing and loyalty across properties
Cendyn CRM brings together data from hotel systems into shared guest profiles. It documents centralized campaign management, property-level flexibility, audience segmentation, and integration with Cendyn Loyalty.
Our assessment is that it is especially relevant when a central team needs consistent marketing and reporting across a portfolio. Cendyn also serves independent and boutique hotel groups, so it should not be ruled out solely because a property is small.
Key features: Unified guest profiles, portfolio campaign controls, and loyalty integration.
Pricing: Custom quote; no comparable public starting amount is listed on the CRM page.
Main consideration: Specify the CRM, loyalty, and other products you need. A partnership with a PMS does not mean every Cendyn product uses the same connector or data flow.
3. KudosCRM for corporate group and event sales
KudosCRM is a general sales CRM that hotels can configure for commercial relationship management. Separate sales pipelines can organize corporate accounts, group inquiries, and event opportunities, while contact and company records retain communication history.
Its email sequences support timed sales follow-up, with enrollment and exit controls. A commercial team could use them to follow up after a venue inquiry or proposal. These sales cadences do not establish native automation based on PMS arrival and departure events.
Key features: Configurable pipelines, contact and company history, and sales follow-up sequences.
Pricing: The KudosCRM pricing page lists a free plan and Basic at $9 per seat per month billed annually, or $12 billed monthly. Advanced capabilities and usage limits depend on the selected plan.
Main consideration: No native OPERA, Cloudbeds, Mews, or apaleo connector is listed. PMS data workflows require a separately validated integration; automatic stay-history synchronization should not be assumed.
4. dailypoint™ for centralized guest data
dailypoint™ focuses on collecting, cleansing, and activating hotel guest data. Central profiles support marketing, loyalty, communication, and service workflows. It is a useful candidate when inconsistent or duplicate profiles make guest recognition and segmentation difficult.
Its documented apaleo connection is a particular advantage for hotels using that PMS. The apaleo Store explicitly identifies a certified two-way interface with real-time data transmission.
Key features: Central guest profiles, data cleansing, and CRM and loyalty capabilities.
Pricing: The apaleo Store listing publishes €350 per property per month for 360 Central Data Management. This is package-specific pricing, not a per-room rate or a quotation for the entire dailypoint™ suite.
Main consideration: Confirm the modules, implementation work, and ongoing support included. Privacy tools support data governance, but software alone does not establish a hotel’s compliance.
5. Profitroom for direct booking marketing
Profitroom connects its guest database and marketing automation with a broader hotel booking platform. Documented capabilities include guest segmentation, booking history, and integration with other Profitroom products.
That makes it relevant when a hotel wants to coordinate guest campaigns with its booking engine and direct booking experience. The buying decision should consider how the complete setup works with existing reservation and distribution systems.
Key features: Guest database, automated segmentation, and connected email marketing.
Pricing: Request a quote for the required products and services.
Main consideration: Separate the scope and cost of marketing automation, booking engine, channel manager, and any additional services. A connection supporting availability and rates does not automatically provide the guest data needed for personalized marketing.
6. Amadeus GMS for connected guest engagement
Amadeus Guest Management Solutions combines guest profiles, email marketing, lifecycle communication, and loyalty capabilities. Its connection with the iHotelier suite is useful for hotels evaluating an integrated reservation and guest engagement setup.
GMS can also be evaluated by hotels using other systems; it is not restricted to properties already running iHotelier. Compatibility, migration effort, and the resulting workflow determine the fit.
Key features: Guest profile consolidation, automated communication, and loyalty options.
Pricing: Custom quote; the product page does not publish a standard starting fee.
Main consideration: Verify your exact PMS connection and package. GMS focuses on guest engagement; detailed group sales and catering requirements should be evaluated against the relevant Amadeus sales products separately.
7. Salesforce for Hospitality for custom enterprise workflows
Salesforce for Hospitality is a configurable solution approach built using Salesforce products. Its official page identifies products such as Loyalty Management, Service Cloud, Agentforce, and MuleSoft, which can form part of a connected hospitality solution.
It suits organizations that need to connect guest service, loyalty, data, and custom workflows and can resource the implementation. The deciding factor is operational complexity and administration capacity, rather than a fixed room-count threshold.
Key features: Configurable guest and service workflows, loyalty capabilities, and integration tooling.
Pricing: Depends on the products, licenses, services, and implementation selected.
Main consideration: Budget for configuration, integration, and ongoing administration. A basic Salesforce license price does not represent the cost of a complete hotel CRM solution.
8. Smart Host for personalized guest communication
Smart Host uses PMS-connected guest profiles to support personalized communication, offers, and analytics. Its documentation describes campaigns through email, WhatsApp, and SMS, as well as pre-stay and post-stay communication.
Our assessment is that it belongs on the shortlist for hotels seeking guest marketing without building their own reservation data model in a general CRM. Its modular setup allows the hotel to scope the communication and offer tools it needs.
Key features: PMS-connected profiles, personalized campaigns, and offer management.
Pricing: Custom quote. The official pricing page gives approximate examples, including €399 per month for Base and CRM at a 20-room hotel. That example is not a guaranteed starting price for every property.
Main consideration: Compare your actual module bundle and hotel size with the quoted configuration rather than extrapolating a single example.
9. Bookboost for multichannel guest journeys
Bookboost combines guest data, CRM, messaging, and automation. It is relevant when hotel teams need coordinated communication through email, SMS, and WhatsApp, with guest journeys based on available reservation data.
Our assessment is that it is a useful option for teams whose guest communication spans several channels. The platform and package should be evaluated together, because campaign triggers, audience limits, and messaging requirements differ.
Key features: Guest profiles, journey automation, and multichannel campaigns.
Pricing: Bookboost uses modular, per-room pricing. Its Customer Data Platform starts at €2.20 per room/month, while modules such as Journey, Broadcasts, and Inbox are priced separately. The current pricing page states a €399 monthly minimum. Multi-property groups can request volume pricing.
Main consideration: Confirm which event triggers, messaging modules, sending allowances, and onboarding services are included. The minimum property price is not the complete cost for every hotel.
10. Thynk for hotel and venue commercial operations
Thynk’s Hotel and Venue CRM is built on Salesforce and focuses on hospitality commercial operations. Its platform connects accounts, contacts, sales activity, and property data, with related products for group bookings, meetings, and events.
It is a useful candidate when commercial teams need more than a configurable deal board. Hotels coordinating venue sales and group business across properties can evaluate the connected sales and operational workflows.
Key features: Hospitality account management, property-wide commercial visibility, and connected group and event tools.
Pricing: Request a quote for the required platform and product scope.
Main consideration: Clarify which connected products and integrations the implementation includes. Being built on Salesforce does not make Thynk interchangeable with a separately designed Salesforce hospitality solution.
PMS integration evidence for all 10 CRM platforms
The table distinguishes published integration evidence from broader partnerships and configurable routes. It is not an exhaustive compatibility matrix. “Not listed” means a native connector was not found in the reviewed catalog; it does not prove a custom connection is impossible.
Platform | Evidence reviewed | What still needs checking |
|---|---|---|
Revinate | Official partner pages for Oracle Hospitality, Cloudbeds, Mews, and apaleo | Exact PMS version, connected products, fields, and sync direction |
Cendyn | Its partner directory lists Oracle OPERA and Mews Systems | Which CRM product connects and whether the required guest data flows are supported |
KudosCRM | Its integration catalog lists live inbound event sources and outbound webhooks; no native hotel PMS connector is listed | Whether a custom workflow can deliver the required data; full REST API and Zapier are marked coming soon |
dailypoint™ | apaleo Store documents a certified two-way interface and real-time transmission | Included fields, implementation scope, and any additional modules |
Profitroom | Its integration directory lists PMS partners, including Mews | Whether the connection supplies guest and reservation data for marketing, beyond distribution data |
Amadeus GMS | Official GMS documentation describes PMS integration and iHotelier connectivity | Supported PMS version, profile fields, and data refresh timing |
Salesforce for Hospitality | Official hospitality documentation describes connected PMS data and integration tooling | Partner or custom connector, required licenses, and implementation responsibility |
Smart Host | Its apaleo setup guide documents use of reservation and profile data | Current setup requirements, fields, and update frequency |
Bookboost | Its integration catalog lists Mews, apaleo, and Oracle as PMS connections | Exact connector, sync timing, and package-specific event triggers |
Thynk | Thynk Connect lists Oracle, Mews, Stayntouch, and other PMS partners | Exact interface, room-block workflows, data direction, and connected products |
For a useful demo, ask the vendor to show a reservation created, changed, canceled, and checked out in your PMS. Check that the CRM updates the correct profile and stops or changes any scheduled messages. For group sales, also test room blocks, pickup data, and the handoff to operations where those functions are required.
Four criteria for choosing CRM software for hotels
Guest profiles and usable stay history
Check whether the CRM can recognize a returning guest across reservations and properties. Useful fields include stay dates, booking channel, preferences, and relevant spending history, subject to what your systems actually supply. Also check duplicate handling, marketing permission records, and data export options.
A hotel customer relationship management system becomes more useful when staff can act on accurate profiles. Having custom fields is only part of the requirement; keeping those fields current is equally important.
Automation tied to the guest journey
Prioritize workflows you can define clearly: a pre-arrival upgrade offer, a post-stay survey, or a return-stay campaign for a relevant segment. Check whether triggers update when a reservation changes, and whether unsubscribed contacts are excluded from promotional sends.
In its 2026 North American email benchmarks, Revinate reports $95 in pre-arrival upsell revenue per booking and a 55.7–66.9% open-rate range across confirmation and pre-arrival campaigns. These are vendor-reported results from its dataset, not guaranteed outcomes for every hotel or evidence that all reservation contacts generate $95.
Revinate’s hotel email marketing analysis also reports average open rates of 56.6% and CTR of 15.17% for recurring campaigns, compared with 32.2% and 2.37% for one-time campaigns. These are different campaign types in vendor data, not a controlled test establishing that automation caused the difference. Judge your own campaigns on bookings, contribution, and relevant engagement as well as opens.
PMS connectivity and operational fit
PMS integration matters when campaigns depend on current reservations, stay history, or guest recognition. Its importance grows with data volume and workflow complexity, rather than starting at an arbitrary number of rooms.
A sales team managing corporate relationships may initially need fewer reservation fields than a guest marketing team. Specify the data required for each workflow, then check the connection against that list. A channel manager connection alone may not provide a complete guest profile.
Segmentation and measurable commercial results
Useful segments might include returning guests, travelers interested in spa packages, or corporate accounts without a recent inquiry. Choose a platform that supports the actual audiences your hotel can serve and the permissions needed to contact them.
For guest marketing, track direct bookings and net campaign contribution. For hotel sales, track response time, proposal follow-up, and won business. A loyalty module is worthwhile when the hotel has a defined program to run; smaller operations may get more value from straightforward targeting and consistent follow-up.
What a hotel CRM adds to a PMS
A property management system primarily runs reservations, room inventory, check-in, check-out, and billing. Some modern PMS platforms also provide guest profiles, messaging, or automation. A dedicated guest CRM can add deeper segmentation, consolidated profiles, campaign management, and loyalty capabilities; a sales CRM adds commercial account and opportunity management.
The gap varies by hotel. Guest information may sit in the PMS, booking engine, marketing software, and sales inboxes. The task is to connect the information needed for a specific workflow, not to buy another system simply because it carries a CRM label.
Before adding hotel guest management software, map what your current tools already do. If your PMS supports the communication you need, a separate CRM should solve a further problem, such as portfolio-wide profiles or corporate sales tracking.
Modeling direct booking savings without overstating ROI
A CRM may help hotels encourage repeat guests to book directly, but channel shifts are not guaranteed. OTAs also bring demand, and direct acquisition has costs. Compare the contribution from each channel using your own contracts and marketing expenses.
Consider a hypothetical hotel with 100 rooms, 70% annual occupancy, and a $150 average daily rate:
Occupied room nights: 100 × 365 × 70% = 25,550.
Annual room revenue: 25,550 × $150 = $3,832,500.
If five percentage points of total occupied room nights shift from OTA to direct, the shifted volume is 1,277.5 room nights.
Revenue shifted: 1,277.5 × $150 = $191,625.
Using an illustrative 20% OTA commission and a 5% incremental direct-channel cost produces the following calculation. These percentages are scenario assumptions, not market benchmarks.
Calculation | Annual amount |
|---|---|
Gross OTA commission avoided | $38,325 |
Direct-channel costs on shifted revenue | $9,581 |
Channel-cost saving before CRM and campaign costs | $28,744 |
Rounded to the nearest dollar, this is potential channel-cost saving, not proven CRM profit. Subtract the relevant CRM, integration, and campaign costs, and account for any direct-booking discounts or benefits. The example assumes the same room rate and occupancy; if those change, recalculate the contribution rather than applying the saving unchanged.
Choosing a hotel CRM by operating needs
Independent and boutique hotels
Start with the main problem. If it is repeat leisure business and guest communication, compare hospitality options such as Smart Host, Profitroom, Bookboost, or Revinate against your PMS and budget. If it is missed corporate or event follow-up, evaluate a sales CRM such as KudosCRM.
Room count alone does not decide whether a general CRM is cheaper or more suitable. Include the cost of configuration, integration, and the staff time needed to maintain it.
Hotel groups with a central team
Look for shared profiles, property permissions, centralized campaigns, and reporting across the portfolio. Revinate, Cendyn, dailypoint™, and Bookboost are relevant candidates for guest engagement, depending on connectivity and required modules.
Commercial teams may also need centralized account management and inquiry distribution. Compare Thynk when hospitality-specific operations matter, or a general sales CRM when configurable pipelines cover the requirement.
Enterprise brands with complex systems
Evaluate data governance, loyalty requirements, regional operations, and implementation capacity before narrowing the shortlist. Cendyn, dailypoint™, Salesforce for Hospitality, and Amadeus GMS address different parts of that problem; none is automatically the right choice for every large chain.
Request a complete implementation scope, including data migration, connector responsibility, administration, and renewal terms. A low license price provides little guidance when integration determines whether the system can perform the required work.
Other general CRMs hotels may consider
General CRMs remain useful for contact and sales management, even though they are not the main hospitality shortlist here. Reservation-based marketing requires a verified integration and suitable data model.
HubSpot: Offers free CRM tools and paid marketing products. Its Marketing Hub pricing lists Professional from $800 per month with annual billing and a required $3,000 onboarding fee. That is a marketing package price, not the cost of using its free CRM. Match automation needs to the subscription; our CRM vs marketing automation comparison explains the distinction.
Pipedrive: Useful to evaluate for straightforward commercial pipelines. Lite starts at $14 per seat per month billed annually; richer email and automation capabilities require checking the higher-tier feature list.
Zoho CRM: An option for teams willing to configure records and workflows. Its US pricing page lists Standard at $14 per user per month billed annually and a free edition for up to three users. Feature availability varies by edition.
Choose a CRM around the work your hotel needs to improve
Shortlist tools against one guest marketing or commercial sales workflow, then ask each vendor to demonstrate it using your required data. Compare complete quotes after confirming the connection and package, so the price reflects a system your team can actually use.
If your hotel needs clearer corporate, group, and event sales follow-up, explore KudosCRM for travel and hospitality. Organize inquiries and relationships in configurable pipelines, while evaluating PMS-connected guest marketing as a separate requirement.
