Capture your first lead

The six ways people get into KudosCRM without anyone retyping them — forms, booking links, your own website form, CSV, chat and the API — and how to pick the one to start with.

Capture is the difference between a CRM that reflects your business and one that reflects whoever remembered to type things in. The goal is that a new person arrives as a record automatically, tagged with where they came from.

There are several routes in. Start with one.

Before you start

  • Permission to create forms, or access to your website if you are connecting an existing form.
  • A decision about who should own new leads, so they do not arrive unassigned.

Every arrival is tagged with its source
However a lead arrives, it carries its source, medium and campaign. That is what makes it possible later to say which channel actually produced pipeline rather than which one produced traffic. Reps only pick a source by hand when they enter a lead manually.

Pick a route and use it

  1. Build a form, if you need a new one
    The form builder covers a wide range of field types and needs no developer. Publish it as a hosted page or embed it on your site; every submission lands as a lead.
  2. Or connect the form you already have
    Keep your Webflow, WordPress or hand-written HTML form and point it at the inbound endpoint. The fields are mapped onto a lead, so you do not have to rebuild anything.
  3. Or share a booking link
    Let a prospect schedule time directly. The booking creates the lead, lands on the timeline, and is tied to the right rep — useful when the next step is a conversation anyway.
  4. Or import a list
    Back from a trade show or a webinar with a spreadsheet, CSV import is the route. Rows are matched against existing records rather than duplicated.
  5. Decide who owns new leads
    Set up routing so each arrival is assigned the moment it lands — to a fixed rep, a round-robin pool, or by territory — with a default owner so nothing sits unowned.

    Submit your own form, or import a single test row, and follow it through to the lead list. Seeing the whole path once is worth more than reading about it.

Frequently asked questions

Which capture route should I start with?

Whichever matches how people already reach you. If you have a website form, connect it. If you mostly talk to people who want a call, use a booking link. Building a new form is worth it when you want fields your current form does not collect.

Do I need a developer to embed a form?

No. Forms can be shared as a hosted page or embedded on your site, and connecting an existing form is a matter of pointing it at the inbound endpoint.

What happens to a lead nobody is assigned?

That is what the default owner is for. Routing rules assign on arrival, and the default owner catches anything the rules do not match, so nothing lands unowned.

Can I tell which channel is actually working?

Yes — that is the point of capturing source, medium and campaign on arrival. Attribution then reports on which channel produced pipeline, not just traffic.
