KudosCRM creates one read-only Portal for one Project. Clients open a secure link without creating an account, while your team chooses whether they can see Tasks, Files, status history, and invoiced-to-date information.

External clients should not need a CRM seat just to check delivery progress. KudosCRM creates a Project-specific Portal link that acts as the client's credential. There is no account registration, invitation flow, or extra software to install.
One Portal Link for One Project
Each Portal link is scoped to a single Project. Clients cannot use it to browse other Projects, other customers, your internal CRM, or unrelated records. There is no multi-Project customer dashboard in the current Project Portal.
Keep the Link Hard to Guess
The Portal uses an unguessable token. The share link carries that token in the URL fragment, so opening the page never sends it in the page request or in the Referer of outbound links.
Add Password Protection When Needed
A Portal can use an optional password. It is stored hashed, compared in constant time, and accepted only from the password form — never from the URL, so it cannot end up in browser history or server logs.
Set an Expiry Date
Portal access can stop on a date you choose. After expiry, the client sees a clear “Link expired” state instead of continuing into the Project.

Section Controls
Choose Exactly Which Project Sections Clients Can See
Not every client needs the same level of Project visibility. KudosCRM lets the Project owner or an admin enable four Portal sections independently. If a section is turned off, that information is left out of the public response rather than merely hidden in the browser.
Tasks
Share the Project work that is useful for the client to follow. Tasks marked as milestones keep their milestone flag so important delivery points stand out.
Files
Give clients access to Project files through the Portal over signed download links, without exposing internal file access.
Status History
Share up to the 50 most recent Project status changes. This is status history, not the full internal Project timeline — clients do not receive internal emails, comments, or other private Project activity.
Billing
Show invoiced-to-date when Billing is enabled. Project budget, internal costs, Quotes, Orders, and full Invoice records stay private.
Privacy by Construction
Share Project Progress Without Exposing Internal Data
External visibility should not mean opening the internal Project record. KudosCRM uses a deliberately limited public payload so clients receive only the information intended for the Portal.
Keep Internal Budget Private
Even when Billing is enabled, the client sees only invoiced-to-date. The Project budget is never part of the public payload.
Keep Internal Team Details Private
The Portal does not expose assignee names, member email addresses, internal comments, or the reasoning behind the Project's health status — regardless of which sections are switched on.
Keep Client Access Read-Only
Clients cannot change Tasks, upload files, add comments, edit Project information, or approve work. The public surface is a single read endpoint, built for client visibility rather than client collaboration.
Keep Portal States Clear
Password required, wrong password, expired or archived, revoked or rotated, and network failure each render a clear branded message instead of a broken page.

Access Management
Control Client Access Throughout the Project
Client access often needs to change as the engagement progresses. KudosCRM lets authorized internal users update Portal access without rebuilding the Project or creating another external account.
Limit Who Can Share a Project
Only the Project owner or an admin can create, change, rotate, or revoke the Client Portal. Editors and other Project members cannot expose a Project externally simply because they can work on it.
Update Portal Settings Without Changing the Link
You can change the visible sections, password, and expiry while keeping the existing Portal URL, so the client's bookmark keeps working.
Rotate the Link or Revoke Access Completely
Rotate the Portal link when you need to invalidate the old URL. Rotation also clears the password, so set a new one afterwards if password protection is still required. When the client no longer needs Project visibility, revoke Portal access and the token, expiry, and password are all removed.
Keep External Views Auditable
Every anonymous Portal view is recorded with privacy-conscious access information — a hashed IP and a truncated browser signature. The public surface is also rate-limited per IP and per IP-and-token to reduce abusive access.

How Does the KudosCRM Client Portal Work?
Sharing a Project with a client takes five steps, and access stays under your control the whole time.
Open the Project Share Controls
The Project owner or an admin creates the Portal access from the Project.
Choose What the Client Can See
Enable Tasks, Files, Status History, Billing, or any combination of those sections.
Protect the Portal
Add a password and an expiry date where required.
Share the Link
Send the Project-specific Portal link to the client. No account registration is required.
Update or Revoke Access
Change the visible sections, update access settings, rotate the link, or revoke it when the engagement changes.
