An unanswered email makes follow-up difficult. Another message may feel premature, while waiting too long can delay an important decision.
Email read receipts can indicate that a recipient’s mail system treated your message as read. They cannot confirm understanding, and a missing receipt does not prove the email went unread.
The useful next step is to check what your account supports, request confirmation when appropriate, and interpret the result alongside the conversation.
What Do Email Read Receipts Confirm?
A read receipt is a notification returned by the recipient’s email system. It reports a client action associated with reading or opening a message, rather than confirming that the recipient understood it.
Keep these three signals separate:
Delivery receipt: confirms delivery to the recipient’s mailbox.
Read receipt: returns a notification from the recipient’s email system.
Open-tracking event: records a request for a remote image embedded in the message.
For example, a mail client may return a receipt when a message is marked as read without being opened. An image request may come from a privacy service.
Treat these signals as context for follow-up. A reply or an agreed next step tells you more about what the recipient needs.
How Do You Request a Read Receipt in Gmail?
Use Gmail on a computer with an eligible work or school account. Your administrator must make email read receipts available; personal Gmail accounts do not have the native option.
Request a Receipt for One Message
Open Gmail and select Compose.
Add your recipient, subject and message.
Open the three-dot menu in the compose window.
Select Request read receipt, then send.
If the recipient returns a receipt, Gmail sends you a notification email. Approval may be required, so confirmation is not guaranteed.
Enable Receipts as an Administrator
An administrator with the appropriate Gmail settings privilege can manage this feature for an organizational unit.
Open the Google Admin console.
Go to Apps → Google Workspace → Gmail → User settings.
Choose the organizational unit.
Configure Email read receipts.
Save the changes.
Policies can disable receipts, restrict their destinations or allow them more broadly. The selected policy also affects whether users must approve returns.
Changes can take up to 24 hours, although they often apply sooner. If the option is missing, check your account, browser interface and organizational settings before assuming something is broken.
How Do You Request a Read Receipt in Outlook?
In a supported Outlook account, request the receipt before sending. The controls depend on the Outlook application you use.
New Outlook and Business Outlook on the Web
Start a new message.
Open Options and locate Tracking.
Enable Request a Read Receipt, then send.
If the control is hidden, check the ribbon’s additional options.
Classic Outlook for Windows
For an individual message, use Options → Tracking in the message window and enable the read-receipt request.
For a default applying to outgoing messages, open File → Options → Mail → Tracking and enable the read-receipt setting.
Outlook for Mac
In current Outlook for Mac, compose the message and choose Receipts → Read Receipt before sending. This requires a Microsoft 365 work or school account, or an organizational Exchange Server account.
Personal Outlook and Other Account Types
Personal Outlook webmail cannot request receipts. An Outlook address used in Outlook for Windows has different eligibility, including a Microsoft 365 subscription requirement.
Microsoft also excludes IMAP/POP accounts such as Gmail, Yahoo and iCloud from this feature in Outlook.
Why Are Email Read Receipts Missing?
A missing receipt is inconclusive. The request may not have been included, the recipient may have declined it, or their settings may prevent a return.
Check these possibilities:
No request was added. Confirm how the original message was sent.
The recipient withheld confirmation. Their application may allow them to decline or suppress receipts.
An administrator restricted receipts. Organizational policies can limit who receives them.
The client behaves differently. Support and return behavior vary by software and configuration.
The address was a group or alias. Gmail documents limitations for these destinations.
Avoid using “no receipt” as a reason to assume rejection or disinterest. If a deadline matters, ask the recipient to acknowledge the message.
For example: “Could you confirm that the proposal reached you, and let me know whether anything needs clarification?”
That question gives the recipient a useful action without claiming to know what happened in their inbox.
Can You Track an Email Without a Read Receipt?
Some tools track email activity without requesting a native receipt. They usually record when a remote image, often a tiny tracking pixel, is fetched.
The basic process is:
The outgoing email includes a remotely hosted image.
An email client, proxy or other system requests it.
The tracking service records that request as an event.
A native receipt prompt is not part of this process. However, the absence of a prompt does not remove applicable consent requirements.
Why an Open May Not Mean Someone Read the Email
Privacy services, blocked images and caching affect the result. Apple’s Mail Privacy Protection settings explain that remote content can load in the background, obscuring actual views and viewing frequency.
Consider these limits:
Background loading can create activity before a person reads the message.
Blocked images can prevent a tracked event even when someone reads the text.
Caching can limit what repeated image requests reveal.
Forwarding or shared access can make attribution uncertain.
Clicks need interpretation too. Use replies, relevant website actions and progress in the conversation alongside tracking data. An isolated open or click should not be treated as proof of buying intent.
Email Read Receipts vs. Open Tracking
Email read receipts and pixel tracking provide different kinds of evidence. Choose based on the task and account support, while recognizing that neither proves careful reading.
Consideration | Native read receipt | Pixel-based open tracking |
|---|---|---|
How it works | Recipient’s email system returns a notification | A remote image request creates an event |
Recipient approval | May be automatic, prompted or withheld | No native receipt prompt; privacy requirements still apply |
Main limitations | Account, client and policy restrictions | Image blocking, caching, proxies and automated activity |
Useful application | Requesting occasional acknowledgment | Reviewing activity across tracked messages |
Proof of understanding | No | No |
A CRM can organize tracking events with customer records. It remains dependent on the underlying measurement method and supported integrations.
For a single important email, a direct acknowledgment may be enough. A team managing many conversations may benefit from shared history and a defined follow-up process.
How Can Sales Teams Use Email Tracking?
Sales teams can use tracking to add context to customer records and decide what needs review. It works best alongside the message history, agreed deadlines and actual responses.
A Gmail CRM integration or Outlook CRM integration can connect customer emails with matching contacts and deals.
KudosCRM’s CRM email tracking currently supports these sending paths:
Sending path | Open tracking | Click tracking | Reply detection |
|---|---|---|---|
Connected Gmail | Yes | No | Yes |
Connected Outlook | Yes | No | No |
IMAP/SMTP | Yes | Yes | Yes |
KudosCRM platform sends | Yes | Yes | Not listed for this path |
KudosCRM separates Apple MPP activity from reported open rates. Detailed open and click events are retained for 90 days, while headline counters remain afterward.
Use Supported Events for Follow-Up
KudosCRM’s email-triggered workflows can create a task after the first open that qualifies under its filtering rules. The open trigger does not fire for repeated opens or Apple MPP activity.
On supported mailboxes, detected replies can also stop email follow-up sequences. This helps keep automated outreach aligned with the conversation.
Before changing a workflow, check the sending path and the event it actually supports. Use the task to review the account and choose a relevant next step.
For example, a first-open event could prompt the owner to check an outstanding proposal. The follow-up should still reflect the customer’s deadline and previous discussion.
Do Email Tracking Pixels Require Consent?
Requirements depend on the tracking purpose and applicable law. Permission to send an email does not automatically settle permission to track it.
In France, the CNIL’s email-pixel recommendation describes purposes requiring consent and limited exemptions. It also distinguishes tracking operations from subsequent personal-data processing under GDPR.
A one-to-one sales message is not automatically exempt because it has only one recipient. Equally, a French recommendation should not be presented as one universal rule for every jurisdiction.
Identify the purpose, provide required information and choices, and honor withdrawals. Where the applicable conditions are not met, use untracked email.
